Development Programs has an exciting opening for an Executive Assistant to the Associate Vice President (AVP). This is a full-time, permanent position. The Executive Assistant to the Associate Vice President for Development Programs provides direct executive administrative support and advanced project management and analysis. This position supports the AVP in their leadership of the Development Programs team and provides executive support to the broader Office of Development, as needed. The Executive Assistant will manage the flow of information to and from the AVP and serve as a key liaison with University and Advancement leadership and relevant stakeholders. What You Will Do: Office Administration Manage the AVP’s complex and sensitive schedule, including evaluating the need to reschedule or relocate meetings; coordinating day-to-day calendar activities; overseeing all meeting logistics; responding to inquiries; and ensuring the AVP is fully briefed on all required materials and documents. Internal and External Relationship Management Build and maintain trust-based relationships with key campus and Advancement leadership, high-level committees, donors and other constituents, communicating with diplomacy, professionalism and discretion. Advise the AVP on matters of importance; prepare and assemble documentation to support decision-making; and safeguard confidential and sensitive information. Serve as a knowledgeable point of contact for senior leaders, including Regents, executive leadership, deans and Chief Advancement Officers. Draft and support the creation of briefing papers, proposals and other materials related to donor and prospect cultivation, solicitation and stewardship. Facilitate donor-related communication by preparing updates, supporting strategy discussions and ensuring timely dissemination of information to internal and external stakeholders. Enter and update tasks and contact reports in the University’s database for all donor and prospect related activities connected to the AVP. Contribute to the creation and tracking of internal progress reports and metrics, managing data collection and reporting, once processes are established. Support special projects assigned by the AVP, including high-level searches, onboarding efforts and donor stewardship initiatives. Other duties as assigned Minimum Requirements: Bachelor's degree and at least 4 years of experience providing administrative support to executive leadership or related experience. What You Bring: Demonstrated experience managing complex scheduling and calendaring needs for executive‑level leaders, including prioritizing meetings, coordinating with internal and external stakeholders, and adjusting schedules in response to shifting priorities. This position exercises considerable independent judgment and decision-making skills in the management of the activities of the deans, and in meeting departmental priorities. Special Projects and Workgroups (30%) Independently manage the creation of new and renewal of existing Memorandum of Understanding (MOU) between the curriculum office and clinical departments to support faculty teaching within the medical education program. Anticipate and proactively begin the MOU renewal process each year. Ensure MOUs are timely signed and submitted to Academic Affairs. Directly support the curriculum and other institutional leadership with the medical school accreditation process, including comprehensive planning of and preparation for site visits. Draft responses to the annual LCME questionnaires, manage data collection, and maintain and prepare School of Medicine accreditation materials. Provide high-level administrative and organizational support for workgroups and search committees overseen or chaired by the associate and assistant deans. These duties include taking meeting minutes, documenting decision-making, tracking next steps, developing and disseminating materials, communicating outcomes to stakeholders, and directly coordinating meeting logistics. Implement internal management systems and/or tools for tracking various initiatives, projects, and other special assignments across the Curriculum unit. Proactively provide regular status reports to the Associate Dean, Assistant Deans, and Curriculum Directors on projects and issues, highlighting key priorities, identifying possible challenges, and making recommendations or presenting solutions. Support the development and execution of curriculum program activities as directed by the associate and assistant deans. Manage special projects and working groups as delegated by the Associate Dean, Assistant Deans, and Curriculum Directors. Projects involve investigation, analysis, and synthesis of internal and external policy, operational processes, accrediting/regulatory requirements, etc. Perform other duties as assigned. The main purpose of the Data Analyst position is to provide support to key research projects through database management, data quality management, computational support to multidisciplinary research projects, data extraction and formatting, and providing key inputs for papers and presentations. Data Analysts must develop an understanding of different research needs and analytic functions across multiple projects to best meet research needs. Data Analysts must be able to independently translate requests into actionable results through interactions with research databases, formulation of displays of results, and development of complex code to be applied to a variety of quantitative data. This position calls for dexterity working with complex databases and the ability to assess, transform, and utilize quantitative data using R. Responsibilities: Research command Become familiar with substantive areas of expertise to understand the dimensions and uses of health data and the analytic underpinnings of different research streams. Work directly with researchers to identify the source of data used in models and results, understand the context of the data, and ensure that they are relevant to the analyses themselves. Data management and analytics Create and document efficient, effective, and replicable methods for extracting data, developing code, organizing data sources, managing data quality, and explaining complex analytic processes. Use protocols to identify problems with datasets and routine computational processes, rectify issues, and systematize data for future analyses. Transform and format datasets for use in ongoing analyses. Perform quality checks. Transform and standardize datasets from a wide range of inputs such as surveys, vital registration systems, administrative records, and scientific literature. Problem-solve computational and analytic challenges by investigating the data, understanding the root questions, and coming up with alternative measurement strategies. Execute code solutions in order to answer analytic questions, perform diagnostics on results, and test and assess new methods.
