Manage finance, HR, and compliance workflows including QuickBooks administration, contractor payments, invoicing, month-end close, reporting, and financial modeling on a part-time basis. | 3+ years finance/accounting experience, proficiency in QuickBooks Online, strong Excel skills, familiarity with DCF modeling, contractor payroll experience, tax knowledge, and availability during EST hours. | Finance Operations Manager (Part-Time, EST / NYC Preferred) – NextGen Coding Company Location: USA-Based (Remote, EST hours; NYC preferred) Compensation: $30/hour Schedule: Part-Time (up to 3 hours/week, ~10 hours/month; consistent long-term role) NextGen Coding Company is seeking a detail-oriented and versatile Finance Operations Manager to manage finance, HR, and compliance workflows on a lean, part-time basis. This role covers QuickBooks administration, contractor/vendor payments, reconciliations, invoicing, estimates, month-end close, and reporting. In addition, the ideal candidate will bring investment banking–style analytical skills (DCF modeling, financial analysis), as well as the ability to assist with tax preparation, HR onboarding/offboarding, and compliance-related documentation. Key Responsibilities: Finance & Accounting • Manage QuickBooks Vendors, Projects, and Classes for accurate categorization. • Apply and refine bank rules for recurring transactions. • Split Upwork lump-sum payments into contractor/vendor-level expenses. • Prepare and send client invoices and estimates through QuickBooks. • Handle biweekly contractor payments and reconcile against time entries. • Perform light month-end close (journal entries, reconciliations, accruals). • Deliver monthly reporting packages (P&L, Balance Sheet, Cash Flow). • Build DCFs and perform financial modeling/analysis to support decision-making. HR & Contractor Management • Onboard/offboard contractors in QuickBooks, Upwork, and time tracking systems. • Maintain contractor records, rates, contracts, and compliance documentation. • Enforce time tracking and substantiation policies (TSheets/QuickBooks Time). Tax & Compliance • Assist with preparation of tax filings (supporting schedules, reconciliations). • Track contractor classifications (1099 compliance) and ensure accurate documentation (W-9s). • Maintain compliance checklists for finance and HR processes. • Document all rules, mappings, and “edge cases” into a clear, reusable playbook. Qualifications • 3+ years of finance/accounting experience (professional services or consulting preferred). • Proficiency in QuickBooks Online (vendor management, invoicing, reporting). • Strong Excel/Google Sheets skills (financial modeling, lookups, pivots, reconciliations). • Familiarity with DCF modeling and investment banking–style analysis. • Experience with contractor-heavy payroll (Upwork, TSheets, QuickBooks Time). • Knowledge of tax basics (1099s, accruals, compliance tasks). • U.S.-based, available during Eastern Time Zone hours (NYC preferred). • Process-driven and able to deliver accurate work in minimal weekly hours. Performance Expectations • Complete finance, HR, and compliance workflows in ~10 hours/month. • Maintain clean and accurate books, reconciliations, and reports. • Deliver invoices, estimates, and payouts on time with minimal errors. • Prepare ad hoc models (DCF, cash flow forecasting) as needed. • Document all processes and eliminate dependency on individual knowledge.
