Responsibilities include completing monitoring visits of providers serving in the program (service area visits include Kitsap, Skagit, Snohomish, Whidbey Island, King, Pierce, Mason, Jefferson, Spokane), offering technical support to providers and families in service areas. Office support duties include preparing, verifying and submitting monthly attendance of providers for payment; accurate record keeping of hours used by families; actively conducting quality assurance checks; and preparing provider and family files, file maintenance, reference checks, and data recording. Working with the Program Supervisor and Program Director to meet overall program goals and objectives. The ideal candidate may be based in Kitsap County, Whidbey Island (Island County), Snohomish County, or Skagit County. The position is in-office in Kitsap County unless the candidate lives in one of the other counties. • Conduct Monitoring Site Visits of providers in the program’s service area, especially Whidbey Island and Snohomish County. • Collects, prepares and submits required paperwork for respite providers to Child Care Aware of America. • Conducts Quality Assurance checks on all areas of the program to ensure program is consistent in compliance to standards as set forth by Child Care Aware of America. • Assist in conducting compliance checks on files for providers and families to ensure that each file is in line with contract standards regarding forms, monitoring site visits, initial home visits, enhanced referrals, recertifications, background checks, and training deadlines. • Assist in assurance that family binders are ready to be distributed to new families in the program. Put together any update requirements for distribution for existing family binders. • Assist with in-take procedure for new providers in the program • Assist in training sessions for provider’s annual requirements • Inputs required data from enrolling families and providers and matched families and providers, keeping data recording in compliance with contract requirements. • Conducts new Provider Orientations, giving potential providers key information, training and knowledge about the program to make an informed decision about becoming an EFMP Respite Provider • Submit to Child Care Aware of America required paperwork for: verification of provider work time, enrollment of new families and providers according to timelines • Support general EFMP Respite program office operations • Other established program operations as assigned HOW YOU WILL BE A GREAT FIT: • Minimum of a Bachelor of Arts/Sciences in Special Needs Education, Early Childhood Education or related field • Minimum 2 years of experience in Special Education or Early Childhood Education field and experience in training adults • Minimum 2 years of experience in Administrative Services • Able to obtain a cleared: FBI fingerprint clearance, Child Abuse Registry Check, and Sex Offender Registry Check and references. Additional responsibilities include configuring the system to maximize efficiencies, and implementing changes as defined by clinical and business teams. Functions and Responsibilities: • Provide support for clinical users as issues arise • Responsible for managing Credible Help Desk tickets, either by resolving the request or assigning it to the appropriate person • Responsible for configuration of EHR (Credible) as directed • Regularly submit essential State reporting data and communicate errors to clinical teams (including MOTS/ROADS and Washington State reporting) • Write and maintain custom reports to support billing, clinical, and quality improvement operations and performance outcomes • Attend regular reporting meetings to stay current on State requirements • Analyze and interpret complex data sets • Develop and maintain reports and dashboards • Collaborate with cross-functional teams to understand data needs • Perform data validation and quality checks • Implements changes as defined by the Manager or by business leadership teams • Works with data team to enhance system efficiencies • This position works closely with a variety of technical and non-technical staff.
