Responsibilities • Manage front desk duties, greeting visitors and directing them appropriately with professional phone etiquette. • Operate multi-line phone systems, handle inquiries, and transfer calls efficiently. • Perform data entry, filing, and document proofreading to maintain accurate records and correspondence. • Coordinate calendar management, schedule appointments, and organize meetings using tools like Google Workspace and Microsoft Office. • Support office management tasks such as supply ordering, maintaining office equipment, and overseeing general administrative functions. • Provide customer service support by assisting clients or patients with inquiries and ensuring a positive experience. • Handle clerical tasks including typing, photocopying, scanning documents, and managing incoming/outgoing mail. Requirements • Proven experience in office administration or clerical roles with strong organizational skills. • Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications. • Excellent phone etiquette skills with experience managing multi-line phone systems. • Bilingual abilities are highly desirable to serve diverse client needs effectively. • Demonstrated ability to manage time efficiently while handling multiple priorities simultaneously. • Previous experience as a receptionist—medical or dental reception experience is advantageous—along with personal assistant responsibilities preferred. • Strong attention to detail for proofreading documents and data entry accuracy.
