Overview We are seeking a dynamic and detail-oriented Administrative Assistant to join our team! In this vital role, you will serve as the backbone of our office operations, ensuring smooth daily functions and providing exceptional support to staff and clients alike. Responsibilities • Manage front desk duties, greeting visitors and directing them appropriately with professional phone etiquette. • Operate multi-line phone systems, handle inquiries, and transfer calls efficiently. • Perform data entry, filing, and document proofreading to maintain accurate records and correspondence. • Coordinate calendar management, schedule appointments, and organize meetings using tools like Google Workspace and Microsoft Office. • Support office management tasks such as supply ordering, maintaining office equipment, and overseeing general administrative functions. • Provide customer service support by assisting clients or patients with inquiries and ensuring a positive experience. • Handle clerical tasks including typing, photocopying, scanning documents, and managing incoming/outgoing mail. Requirements • Proven experience in office administration or clerical roles with strong organizational skills. • Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications. • Excellent phone etiquette skills with experience managing multi-line phone systems. • Bilingual abilities are highly desirable to serve diverse client needs effectively. • Demonstrated ability to manage time efficiently while handling multiple priorities simultaneously. • Previous experience as a receptionist—medical or dental reception experience is advantageous—along with personal assistant responsibilities preferred. • Strong attention to detail for proofreading documents and data entry accuracy.
