Attend external client meetings or webinars to understand, register and comply with third party portals required for contracting and invoicing. Set up accounts and maintain a solid understanding of various Client portals used for client invoice submission. Handle and complete client vendor requests including vendor forms, ACH authorizations, W-9's and certificates of insurances. Perform project account reconciliations, ad hoc requests and all close out Review the aged accounts and facilitate phone calls, emails, meetings, or other collections activities that drive down WAID and reduce AR provisioning. Provide recommendations and direction to the Cash Clerks to manage and apply cash applications. Communicate regularly with clients to help facilitate and resolve any issues that may arise as it relates to disputes, or claims Act as liaison between operations and many corporate accounting functions including but not limited to accounts payable, financials, timesheets, etc. Assist with annual financial audit preparation as needed. Purpose Manage and oversee the operational aspects of multi-disciplinary projects and programs to ensure they are completed on time, within budget, and meet quality standards. Support project teams by coordinating resources, equipment, meetings, and information. Develop and implement business and business development strategies to drive growth and profitability. Responsibilities Leadership and Direction Receive broad guidance from senior-level management relating to overall key objectives, critical issues, new concepts, and policy matters and general parameters for execution. Manage people and processes to ensure effective execution. Provide leadership and direction in developing short- and long-term client relationships. At the Operational and Company Level Identify, formulate, and provide execute strategic initiatives for regional business growth aligned with the corporate long term strategic plan. Develop recommendations and alternative solutions for divisional, regional, business unit management. Ensure continually improved levels of service and quality and increased customer satisfaction through oversight of the project implementation, including assurance of collaboration and coordination among all stakeholders and mitigation of operational impacts. Assist Regional Manager in accomplishing the service line’s (client’s) day-to-day tasks and responsibilities, including attending meetings, making project related decisions, reviewing and signing documents, and responding to senior management requests in his/her absence. Assure conformance with company philosophy, policies and procedures. Do the Work Develop and maintain annual business/strategic plan for the client(s). Coordinate and manage multi-disciplinary teams. This will include developing and managing brand standards and the client process and in coordination with the individual Project Managers. Communicate effectively with clients, internal and external project teams, sub-consultants and contractors. Coordinate the development of project proposals, budgets, cost standards and schedules. Analyze, present, and select the appropriate project plan based on the client's criteria and project goals. Develop, monitor and communicate project schedules, budgets, billing, progress and scope. Assess project risks and provide solutions. Act as the client point of contact and adapt to changes in process and scope. Work to streamline operational processes through SOP’s, software development, etc. Business Development Foster and develop positive client and project team relationships to increase business. Assist with marketing of the firm’s capabilities to establish new clients and enhance relationships with existing clients, external partners, and government agencies. Primarily responsible for the development of the local geography and markets across multiple business lines to include engineering and technical design, production of drawings, specifications, surveys, studies, reports and other products and services. Understand client challenges and strategize on how the company can provide value and services. Gather and analyze market intelligence to determine customer, critical success factors, and new project opportunities. Experience in managing processes and people. Qualifications Bachelor’s degree business administration or related field, or equivalent commensurate experience is required. Bachelor's degree in civil engineering, architecture, related discipline or equivalent construction or development experience is a plus. Ten or more (10+) years of experience within the A/E industry to include a minimum of five (5) years progressively more responsible project and program management experience. Familiarity with Deltek ERP systems, AutoCAD and REVIT is a plus. Knowledge of project management from conception to delivery. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), web browsers (Microsoft Edge and Google Chrome), Adobe Acrobat and/or Bluebeam. Proficiency in advanced Microsoft features such as pivot tables, Power Automate, Power BI, and graphical Information Portals is a plus.
