This is a high-impact role for an experienced Workday professional who enjoys partnering with Finance & Accounting, Grant and Contract Services (GCS), and Research Administration stakeholders to design intuitive systems, strengthen compliance, and improve how data and processes support scientific discovery. The Senior Finance Systems Analyst serves as a functional leader and trusted advisor, helping guide WHOI through ongoing Workday optimization while ensuring systems align with the unique needs of a complex, grant-funded research institution. The role spans implementation support, post-production optimization, reporting and analytics, and continuous process improvement across finance and sponsored research. Job Description Essential Duties and Functions Lead Workday Financials & Grants Management Solutions Serve as a functional lead for Workday Financials and Workday Grants Management, partnering closely with GCS, Research Administration, and Finance & Accounting in a higher education and research environment Analyze, design, and optimize WHOI’s Financial and Grants Management systems and processes, leveraging Workday best practices Partner closely with GCS to ensure Workday configurations support sponsor terms, institutional policies, and regulatory requirements Support the full sponsored research lifecycle in Workday, including award setup, budgeting, amendments, cost sharing, F&A, billing, revenue recognition, and closeout Support core financial management processes across General Ledger/Financial Reporting, Accounts Payable, Accounts Receivable, Procurement, Assets, Cash Management and Financial Planning & Analysis ensuring alignment with institution accounting policies and best practices Collaborate with Finance & Accounting leadership and business process owners to design, optimize, and govern Workday Financials configurations and controls Act as a key functional lead and trusted advisor during Workday implementations, enhancements, and optimization initiatives Design and Improve Business Processes Collaborate with Finance & Accounting, GCS, Research Administration, Information Systems, HRIS, and other institution partners to design efficient, compliant, and user-friendly processes Lead requirements gathering, business process mapping, and future-state design for financial and grants workflows Translate complex operational needs into clear functional requirements and Workday configurations Evaluate current-state processes, identify improvement opportunities, and guide stakeholders toward best-practice solutions Coordinate and support system testing, user acceptance testing, and issue resolution in partnership with business and technical teams Support integrations between Workday and other institutional systems and tools Reporting, Analytics & Insights Design and maintain Workday Financials and Grants reports, including standard, custom, and composite reports Develop dashboards and metrics that support research administration, financial management, grants oversight, audit readiness, and leadership decision-making Partner with Finance, FP&A, GCS, and Research Administration leadership to define reporting standards, data governance, and analytics priorities Provide ad hoc reporting and analysis to support operational and strategic needs Support, Stewardship & Continuous Improvement Support, Stewardship & Continuous Improvement Provide ongoing functional support to Finance & Accounting, GCS & Research Administration, and the broader WHOI Workday user community Coordinate system enhancements, upgrades, documentation, and end-user training Develop clear user guides, training materials, and process documentation tailored to a research environment Support internal and external audits, compliance reviews, and sponsor inquiries Proactively identify opportunities to improve system usability, productivity, and user experience Contribute to a culture of service, collaboration, and continuous improvement Required Skills & Experience Bachelor’s degree in Accounting, Finance, Business Administration, or a related field At least 7 years of experience supporting financial systems, with increasing responsibility and scope At least 5 years of hands-on experience with Workday Financial Management, including implementation, configuration, administration, and support Demonstrated experience with Workday Grants Management and sponsored research business processes Strong experience developing Workday Financials and Grants reports, including custom and composite reporting Experience working in or closely with higher education, research institutions, or other grant-funded organizations Proven ability to gather requirements, perform gap analysis, and design effective system solutions Strong analytical and problem-solving skills with attention to data quality and integrity Excellent written and verbal communication skills, with the ability to partner effectively across diverse stakeholder groups Preferred Skills & Experience MBA or advanced degree Workday Financial Management and/or Workday Grants certifications Experience supporting complex, decentralized organizations Additional Job Requirements Salary Range: $128,560 - $168,003 The salary range provided for this position reflects the expected minimum and maximum base pay for new hires. Actual compensation will be determined based on factors such as relevant skills, experience, and qualifications, as well as internal equity and market conditions. In addition to base salary, eligible employees also receive a comprehensive benefits package. This is a regular, full-time, fixed-term, exempt position, and is eligible for full benefits. The initial appointment is for 12 months with the possibility of extension. The successful candidate will contribute to a research program evaluating the efficacy of clay treatment for the mitigation and control of Karenia brevis blooms in Florida, using Imaging FlowCytobot sensor surveillance. In addition, the Research Associate will oversee lab-based physiology experiments and lead the analysis and publication of the resulting data from field and laboratory efforts. This position may require labwork and fieldwork in Florida. Essential Functions & Duties Configure and deploy ImagingFlow Cytobot (IFCB) sensors for in situ and labbased surveillance of Karenia brevis and other phytoplankton taxa IFCB analysis of phytoplankton samples for Harmful Algal Blooms (HABs) with a focus on Karenia brevis and other dominant phytoplankton species, using machine-learning for automated image classification Participate in multi-day field and laboratory experiments, including pre- and post-monitoring and data synthesis Genetic analysis of Karenia brevis in field and lab samples via quantitative polymerase chain reaction (qPCR) with a focus on taxonomic and programmed cell death markers Work well independently and in an interdisciplinary group Writing peer-reviewed publications and presenting research results at national and international scientific meetings Required Experience & Education PhD in Biology, Ecology, or a related discipline Prior postdoctoral or professional experience in HAB science. Prior laboratory and field experience related to monitoring and management of Karenia brevis blooms in Florida. Prior laboratory experience in assessing growth and physiology of cultivated HAB species, including taxa within the Kareniaceae. Prior experience with configuration and deployment of ImagingFlow Cytobot (IFCB) sensors for monitoring K. brevis and other phytoplankton in Florida Demonstrated experience in utilizing genetic markers to assess HAB population structure and physiological status, including laboratory and data analysis, and the publication of these data. Prior first author publications on HAB science or management with a focus on K. brevis. Preferred Experience & Education Previous successful experience working with interdisciplinary groups Excellent science writing and communication skills Experience with multivariate statistics and experimental design. Knowledge of dinoflagellate physiology, life cycle, and taxonomy. Additional Job Requirements Physical Requirements Physical duties for this position include but are not limited to, ability to lift 25 lbs independently, 2 times per day; carry 10-25 lbs, 2 times per day. Visual abilities to include: near, far, peripheral, depth perception, and ability to distinguish basic colors. Hearing requirements include the ability to hear and respond to instructions, communicate effectively in loud areas (pier/dock, warehouse). Other physical tasks include occasional prolonged standing/walking; use of hands for basic /fine grasping and manipulation, repetitive motion, reaching above and below the shoulders, pushing, pulling, kneeling, bending, twisting, and stooping. Other occupational requirements include talking, traveling, working around others, and with others. Will be exposed to dust or other irritants and electrical/mechanical/power equipment hazards. Physical duties are subject to change. Sea Duty May work at least 8 hours per day and, at times in excess of 12 hours per day, 7 days per week. Sleep and work hours can deviate from those on land. May be expected to work on watch schedule (such as 8 hours on and 8 hours off or 12 hours on and 8 hours off) for all or part of a cruise or to work as hours are needed to accomplish the planned work. May need to travel during holidays and for long distances to and from foreign ports. May experience rudimentary living and working conditions, with shared and basic living quarters and laboratories. May experience bad or extreme weather conditions, including heavy seas, winter weather or hot, tropical weather. Work on deck may occur in both hot and cold conditions around the clock. Sea conditions will lead to active ship motion. Should be able to climb steep and vertical ladders and able to enter and exit compartments through hatches, doors, and sills. Should be able to carry heavy gear and participate in the loading and unloading of the ship as well as in the activities on deck and in the labs during the cruise. Shipboard environment may include: confined areas, shared sleeping quarters (berths) and bathroom facilities, small and basic berthing, fixed meal times and basic menus. Modest levels of heating, cooling, ventilation, and illumination, limited or no email and internet access and limited off-duty and recreational facilities (library, lounge, movies). May be exposed to potential allergens and irritants, including paint fumes. May experience constant and intermittent loud noises, and slippery and uneven surfaces. Travel May be required to travel for fieldwork. May need to travel during holidays and for long distances to and from foreign ports.
