The Opportunity • Generate and develop leads through the coordination of advertisements, cold calling, referrals, Internet sources, residency programs, and conventions. • Initiate contact and timely follow-up with prospective Anesthesia Medicine physicians and Advanced Provider candidates. Document all actions in database accordingly. • Develop comprehensive recruiting plans for specific vacancies. • Conduct preliminary phone screens, providing site and other relevant information on open positions to qualified physician and advanced provider applicants as well as provide the candidates with an overview of Vituity. • Evaluate candidates for positions and organizational match. • Work with candidates and Medical Directors to coordinate phone interviews and/or site interviews. • Conduct follow-up regarding interviews with all applicants on a timely basis. • Discuss the hiring process with new hires during the contracting phase. • Conduct verbal reference checks and enter the information into appropriate forms to share with the Medical Director. • Facilitate identifying appropriate references for written reference checks. • Maintain and update the candidate records in Taleo. The Opportunity • Monitors and manages all assigned payer projects including oversight, coordination, and management of payer issues across multiple regions and specialties. • Gathers, reviews, and verifies all pertinent information to provide a summary on payer issues for each assigned payer. • Recommends to Director of Payer Contracts the optimal resolution to each assigned payer. • Resolves all payer-related issues with payers in a timely and efficient manner. • Develops and maintains positive relationships with assigned payers, ensuring they are informed about challenges and opportunities on issue resolutions. • Serves as primary point of contact with payers to address and resolve issues related to enrollment, billing, and collection challenges. • Initiates and maintains effective channels of communication with payers and internal departments, addressing any concerns or issues that arise. • Facilitates regular meetings with payers to review performance, address concerns, and discuss opportunities for improvement. • Collaborates with internal departments to analyze root causes of payer-related issues and implement corrective actions. • Provides regular updates on payers and payer policies to internal stakeholders including escalation of unresolved or recurring issues. • Communicates with internal stakeholders through presentations, training documents, and reports. • Works with Director of Payer Contracts to formulate strategies on assigned payers aimed at improving financial performance and ensuring smooth operations. • Prioritizes decision making of payer-related issues based on the overall impact to Vituity. • Identifies potential payer issues by actively monitoring payer KPIs and provides feedback to improve performance financial and/or operational performance related to payer issues. • Consistently demonstrates capacity to manage and resolve urgent issues that arise. • Supports other department projects or duties, as assigned. Required Experience and Competencies • College degree required. • Minimum five years of experience in provider relations, payer relations, and claims processing required. • 7-10 years' experience in healthcare with a thorough understanding of payer policies and procedures, billing and collections, claim adjudication and processing, and credentialing and provider enrollment process required. • Masters' degree in healthcare administration or equivalent preferred. • Minimum five years of management and/or project management experience in healthcare preferred. • Past experience and demonstrated ability to resolve complex issues preferred. • Experience in establishing and maintaining strong payer relationship to obtain requested information timely. • Experience in researching and analyzing payer-related information including but not limited to claims data and payer policies. • Ability to effectively interact with all stakeholders both in written and verbal communication. • Ability to effectively manage time and organize projects to accomplish goals thoroughly and accurately. • Ability to think critically to identify underlying causes as well as solving problems with optimal solution. • Expert knowledge of payer policies, coding and reimbursement rules, laws and regulations. • Expert knowledge of healthcare billing and collection processes to provide appropriate guidance on addressing payer issues. • Proficient in Microsoft Office Suite (PowerPoint, Word, Excel, Outlook, OneNote, OneDrive, SharePoint, Teams). The Opportunity Process accounting receivables and incoming payments in compliance with financial policies and procedures. Perform day-to-day financial transactions, including verifying, classifying, computing, posting, and recording accounts receivables data and bank deposits. Follow escalation path for past due AR with each site’s leadership and ensure Sr. AR Manager and site leadership are informed of the delinquency: >30 days (escalate to MD), >60 days (escalate to MD, RD), and >90 days (escalate to MD, RD, VP). Prepare and review invoices for completeness and accuracy, including gathering and summarizing supplemental billing information to accommodate customer billing requirements. Confirm billing contacts for invoice submission by email, and ensure all necessary parties (PA, MD, RD, VP, etc.) are included. Review various billing system reports and follow up with customers or other division staff/management to resolve identified discrepancies. Make corrections as appropriate to ensure accurate billing following standard operating procedures. Monitor and track incoming ACH and wire payments through bank portal and apply payments to customer accounts as per customers’ payment remittances. On a monthly basis, provide detailed written commentary for past due customers having >90 days open AR balance. Commentary will include explanation as to why AR is past due, confirmation that AR has escalated to leadership, and the expected outcome if known. Working with internal and external stakeholders to resolve site billing problems to reduce accounts receivable delinquency in a timely manner and informing leadership on payment status issues and resolutions. Work within Accounting and Finance departments to post adjustments, accruals, and other designated transaction processing duties. Provide monthly receivable reports to the clinical operational teams and review as needed. Ensure a timely response for department emails and initiate contact with various sites via email or outbound calls in a professional manner while keeping and improving site relations. Assist with other projects as needed including other Accounting Duties as assigned. Perform related duties as required. For AR monthly closure, validate monthly invoicing by each site, and ensure monthly billing is complete and revenue is accrued if AR is unable to bill. Demonstrate and provide superior customer service to Vituity’s physician leadership and customers. Monitor and manage unbilled receivables and prepare monthly unbilled analysis. Review new and amended contracts with operations team to confirm compensation, and ensure revenue is correctly aligned to each site’s site line in NetSuite. Attend and participate in contract meetings, participate in proper contract set up and execution. Partner with site leadership to determine set-up on new contracts, contract modifications, status of invoicing intervals, and any corrections necessary to produce and submit accurate invoices. Ensure Dyad and physician leadership are completing the AR Compensation Templates in a timely manner so contractual information may be reviewed before the contract start date. Partner with NetSuite Admin to maintain detailed contract information. Research and validate the detailed information from the contracts/AR templates to ensure its accuracy. Work with internal and external customers to clearly communicate contractual changes. Identify and help implement process improvements to policies and procedures. Perform in-depth analysis of all invoice discrepancies, validate that the discrepancy/deduction taken is in accordance with agreed upon terms and that the amount taken is accurate; maintain clear and detailed records of validation procedures performed. Dispute invalid discrepancy/deduction with external customers to receive repayment; maintain strong customer relationships to ensure timely resolution. Reconcile customer accounts, including verifying the application of payments to ensure the accuracy of customer balances. Process credit memo/refunds and write-off requests, partner with Senior AR Manager to ensure requests are posted. Contact customers on priority and delinquent accounts for resolution and payment and record all activities in NetSuite. Make outbound collection calls/emails in a professional manner while keeping and improving customer relations Communicate account delinquency information to respective site leadership as outlined by the standard collections and escalation process. Resolve unidentified payments that have been assigned to account with the support of the Cash Application team. Work with internal departments (Medical Directors, Operations, Practice Line) to research issues and provide support in obtaining additional information. Review submitted AR Compensation Templates and contracts to accurately enter sales orders into NetSuite. Ensure sales orders comply with company policies and procedures. Partner with physician leadership/practice line to ensure sales orders are entered correctly. Ensure Bill To and email addresses are entered correctly for proper invoicing. Ensure proper item is selected for revenue recording. Generate/update new sales order when contractual changes occur to ensure proper invoicing. Required Experience and Competencies 5+ years of experience in accounts receivable/collections functions experience required. Bachelor’s degree in Accounting/Finance or relevant experience required. The Opportunity Perform financial analysis to support each of Vituity’s practice lines and areas of growth including Emergency Medicine, Hospital Medicine, Anesthesia, Urgent Care, and other specialties as needed. Work within Vituity’s Oracle Financial environments, including NetSuite and Oracle EPM. Utilize knowledge of enterprise tools to create templates, conduct analysis, and run ad hoc reports. Analyze key operational and financial metrics necessary to prepare financial proposals for new business opportunities. Metrics cover all components driving Vituity’s business, including but not limited to: payer mix, staffing patterns, and provider compensation. Participate in the month-end close process. Use financial metrics to forecast site-level income statements and balance sheets to support the successful launch and ongoing financial oversight of new sites. Monitor year one and progress thereafter towards set financial targets and analyze budget discrepancies. Provide oversight of the quality and reliability of operational and financial metrics. Answer inquiries from clients and Vituity colleagues pertaining to data collected and methodology for financial proposals. Create and refine dashboards and models used to report financial performance. Build financial pro-formas used to assist stakeholders in making business decisions. Support company-wide Finance initiatives. Ensure data integrity and seamless sharing of financial models and reports across software platforms. Support the annual budgeting process by collaborating with physician leaders to develop individual and multi-site budgets. Maintain financial systems by entering data and ensuring data integrity. Collaborate with other FP&A team members on special projects and provide input on ways to optimize financial performance. Assist with the preparation and review of monthly Budget vs Actual (“BvA”) reports. Support annual enterprise planning as well as the 18-month quarterly forecast refresh process. Account for expected financial losses on the Investment Account tracking spreadsheet and update finance leaders of material changes. Collaborate with other FP&A team members on special projects and provide input on ways to optimize financial performance. Prioritize requests and develop, manage, and execute project plans within given deadlines. Identify project requirements and explore solutions that fit business and user goals under the company’s brand framework. Manage relationships with a variety of Vituity departments, client executives, vendors, etc. Keep stakeholders informed of the current status of projects in progress including scheduling status meetings and work in progress meetings on an as-needed basis. Required Experience and Competencies Bachelor’s degree with emphasis on mathematics, economics, finance or accounting fields of study required. Minimum one (1) year of work experience required in finance, accounting, economics or applied mathematics, with emphasis on financial analysis required. Demonstrated understanding of and experience in project management required. Experience working in the healthcare sector preferred. Experience in Finance or Accounting developing and interpreting finding from complex financial models preferred. Advanced skills in Microsoft Excel (Macros, Pivot Tables, etc.) preferred. Experience with Oracle Hyperion/EPBCS, Anaplan, Adaptive Insights, or other financial reporting systems preferred. Familiarity with Oracle NetSuite or other GL Accounting software systems preferred. Forward-thinking Financial Analyst with a passion for Artificial Intelligence and its application in business and financial forecasting and modeling preferred. Strong analytical skills with the demonstrated ability to research, evaluate, and prioritize key financial and operational metrics, build financial models, and present findings clearly to stakeholders at all levels of the organization. Complete a broad variety of administrative tasks in support of the assigned department including managing an active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel relative meetings. Prepare professional reports and presentations as directed. Manage daily administrative duties with an emphasis on enhancing efficient workflow. Assist leadership with calendar support. Responsibilities could include internal/external meeting scheduling, reviewing calendars for conflicts, accepting/declining meetings on behalf of leaders, reminders of meetings and logistics and/or materials that may be needed. Make travel arrangements on behalf of leadership in accordance with policy. Prepare and edit correspondence, communications, presentations, and other documents. File and retrieve documents and reference materials. May conduct research, assemble and analyze data to prepare reports and documents. May initiate follow ups for specific leadership initiatives. Responsibilities could include contract expiration, meeting action items, evaluation feedback, surveys, required education and compliance, and other related work. May be responsible for answering and screening phone calls in a professional manner; take messages and handle inquiries as appropriate. May work with department leaders to develop necessary materials (e.g., manual, training modules, curriculum, etc.) to support the program. Evaluate impact of program in meeting the defined objectives of the program. Coordinate staff meetings/events/conference calls as instructed by leadership. Responsibilities could include agenda preparation, presentations, staffing, meeting collateral, logistics, notes, action item follow-up as necessary, etc. Review operating practices and implement improvements where necessary. Utilize and enter data into all department databases. Coordinate regional department activities as directed. Maintain Reporting, Time and Expenses, Project Status Reports, and Budget Reports. Collect and analyze data to produce weekly and monthly specialized reports. May coordinate seminars/meetings (planning, coordination with corporate staff on mailings, hotels, pre- and post-seminar follow-up), and attend seminars/meetings as directed to assist with registration and face-to-face contact with attendees. If supporting the Marketing department, duties will also include: Serve as the primary point of contact for requests from other departments, IT issues, HR/compliance reminders, etc. Maintain the marketingrequests@vituity.com distribution list, responding to requests and directs to appropriate marketing resources and/or team members. Regularly update and maintain essential marketing documents, content databases, and media assets. Support campaign planning and execution efforts – clearly communicate campaign goals, deliverables, and timelines to the team. Coordinate the development of product and/or materials and other documents as needed to enable successful delivery of service to the clients/stakeholders. Attend project meetings and take minutes. Support a wide variety of special projects some of which may have organizational impact. May support the planning efforts associated with broader enterprise-wide meetings and events, ensuring seamless marketing operations. Required Experience and Competencies High School Diploma or GED equivalent required. Two (2) years of administrative or office support, administrative analyst, or project/department coordination/support role required. 3-4 years of increasingly complex administrative support & project coordination experience preferred. Previous experience supporting a Marketing team is preferred if assigned to the Marketing department preferred. Previous customer service experience preferred. Ability to work independently with drive and initiative but also work well within a teamwork setting. Detail oriented and organized with the ability to juggle multiple tasks, prioritizing projects effectively, and maintaining a smooth operational flow within the assigned department. Ability to complete tasks with varying priorities under conditions requiring speed and accuracy. General knowledge of administrative procedures and standard business office practices. Must have strong customer service with client interactions both verbally and written. The Opportunity Work with site leadership to address HR related initiatives to include retention agreements, employee separation issues, onboarding, hiring and terminations.
