You will act as the internal quarterback across district contracts, insurance compliance, background check requirements, vendor agreements, and RFP submissions, partnering closely with Sales, Customer Success, Operations, Finance, and outside counsel. You’ll bring order, structure, and accountability to complex, high-volume processes that directly impact revenue, delivery, and risk. This role reports to senior leadership and works cross-functionally across the organization. Core Responsibilities District Contract Operations • Manage intake, tracking, version control, and execution of school district contracts • Coordinate redlines and approvals with outside counsel for non-standard terms • Maintain contract repository and key metadata (renewals, obligations, compliance items) • Partner with Sales and Customer Success to keep deals moving efficiently Insurance & District Compliance • Serve as primary liaison with insurance broker and carrier • Manage certificates of insurance, coverage letters, and district-specific requirements • Track compliance matrices across partners and ensure timely updates Background Check Compliance • Own relationships with background check vendors • Maintain district-by-district requirements • Track tutor compliance and problem solve in collaboration with TbT and school partners Commercial Vendor Contracts • Manage intake and first-pass review of vendor agreements • Route deviations or higher-risk terms to outside counsel • Coordinate execution and storage of finalized contracts RFP Process Ownership • Own RFP timelines and submission workflows • Partner with our grant writer on packaging and final delivery • Coordinate legal review as needed • Maintain RFP calendar and track outcomes Corporate Administration • Coordinate corporate registrations and filings through our registered agent • Maintain internal records and ensure good standing across jurisdictions What Success Looks Like • Contracts move faster and with fewer internal bottlenecks • Compliance requirements are centralized, documented, and predictable • RFP submissions are on-time and high-quality • Legal spend is controlled through smart triage and process discipline • Stakeholders across Sales, Ops, and Customer Service know exactly where things stand Requirements • * 5+ years experience in legal operations, commercial operations, contracts management, compliance, or similar operational role • Strong project management instincts with the ability to juggle multiple parallel workflows • Experience coordinating with external legal counsel • High attention to detail and comfort owning process end-to-end • Excellent written and verbal communication • Comfort operating in ambiguity and building systems from scratch Benefits We currently offer the following benefits: • Excellent healthcare coverage - we cover 100% of certain health care plans for you and your family! • Competitive salary (target range: ~$90,000–$110,000 depending on experience) • Access to 401k to help save for the future • Well-rounded wellness benefits including access to free and low cost mental health resources and support services • Fully remote work environment • Company-owned laptop • Flexible, Discretionary PTO: We offer flexible paid time off that allows employees to take time away as needed, subject to manager approval. Role Overview We are seeking an experienced Program Operations leader to build and scale the systems, processes, and structures that power TbT’s instructional content and program delivery. This individual will oversee the end-to-end lifecycle of our curriculum and instructional content—from intake and development through launch and ongoing maintenance -- ensuring that TbT’s products are high-quality, standards-aligned, and efficiently produced. The ideal candidate combines instructional expertise with operational rigor: they understand how great teaching materials are made, how to manage the people and processes behind them, and how to design scalable systems that enable rapid, consistent delivery for hundreds of school district partners. Key Responsibilities Content Operations & Systems Design Build and manage scalable systems for the creation, versioning, and maintenance of TbT instructional content across programs and subject areas. Define and enforce quality standards for content design, ensuring materials align with priority standards, HQIM principles, and Science of Reading practices. Create efficient workflows that allow new content requests to be fulfilled quickly and with fidelity. Implement a knowledge-management infrastructure to catalog, track, and update all curricular assets. Cross-Functional Program Execution Partner with Sales, Implementation, and Product teams to ensure clear handoffs and alignment between client needs and available content. Coordinate timelines, resources, and priorities for new or custom content builds across multiple teams. Monitor and optimize launch readiness processes to consistently meet client start dates. People & Vendor Management Manage and develop a team responsible for content development, instructional design, and program execution. Recruit, onboard, and oversee external curriculum developers and contractors to expand capacity and expertise. Foster collaboration, accountability, and continuous improvement within the team. Quality Assurance & Continuous Improvement Establish review cycles, feedback loops, and data-driven metrics to evaluate content quality and impact. Identify process bottlenecks and introduce tools or automations to increase speed and accuracy. Surface insights from program data to inform content updates and operational refinements. Qualifications 5–10+ years of experience in program operations, instructional design, academic product management, or curriculum development within K–12 education. Proven success building scalable systems for content development or academic service delivery. Deep knowledge of standards-aligned instruction and assessment design. Strong project management, prioritization, and organizational skills. Experience managing people and external vendors in a fast-moving, cross-functional environment. Exceptional communication and stakeholder-management skills. Preferred Experience in tutoring, intervention, or high-dosage instructional programs. Familiarity with Salesforce, Zapier, Asana, Airtable or similar workflow-tracking tools. Background in knowledge-management or academic content operations.
