Manage virtual assistants, oversee sales team operations, track probate business leads, maintain systems and reporting, and support market center initiatives. | Experience in operations or project management, virtual team management, strong tech skills with CRM and project tools, excellent communication, and ability to work EST business hours. | Overview The Ferrara Team @ Keller Williams is seeking a highly organized, proactive, and results-driven Virtual Operations Manager to oversee and optimize the daily operations of multiple business lines: sales team operations, probate referral business, and a growing team of virtual assistants (VAs). This role is pivotal in ensuring that systems run smoothly, agents and clients receive top-level support, and the business continues to scale efficiently. The ideal candidate is a self-starter, detail-oriented leader who thrives in managing people, processes, and technology in a fast-paced real estate environment. Key Responsibilities Team & VA Management • Directly manage and hold accountable a team of 5+ virtual assistants across operations, outbound calling, and probate business functions. • Track daily VA performance (calls, leads, task completion) and report results. • Develop training, SOPs, and checklists to ensure consistency and quality. Sales Team Operations • Oversee transaction coordination processes, Trello board management, MLS input, and contract-to-close checklists. • Ensure listings, showings, and client communications are executed on time. • Manage lead flow in Follow Up Boss, ensuring agents and VAs are following up appropriately. Probate Business Operations • Track probate leads, referrals, and agent follow-ups. • Ensure referral agreements are signed, logged, and monitored for status updates. • Manage communication between Ron, agents, and referred partners. Systems & Accountability • Own Trello, Follow Up Boss, Mojo Dialer, and other platforms to ensure tasks are completed and data is clean. • Run weekly reports for Ron on VA productivity, sales pipeline status, and probate referrals. • Continuously improve systems and processes to eliminate inefficiencies. Market Center Support • Assist in tracking recruiting metrics, onboarding new agents, and organizing Market Center communication. • Support Ron in executing growth and culture initiatives within the MC. Qualifications • Proven experience in operations, business management, or project management (real estate experience preferred). • Experience managing virtual teams. • Strong tech skills: CRM platforms (Follow Up Boss or similar), project management tools (Trello, Asana, ClickUp), and dialers. • Excellent communication and leadership skills. • Highly organized, detail-oriented, and proactive problem-solver. • Based in the U.S., able to work standard business hours EST. Compensation • Salary range: $50,000–$65,000 annually depending on experience. • Performance bonuses tied to VA productivity, referral growth, and overall business efficiency.
