Assist with donor communications, event planning, scheduling, and administrative support for a nonprofit organization. | Requires strong organizational, communication, and basic technical skills, with experience in event planning and donor engagement preferred. | About the role We are seeking a highly organized, detail-oriented, and mission-driven Administrative Assistant to support Protect Life Michigan. This role is crucial in streamlining partner communication, managing administrative tasks, and ensuring smooth implementation of our 3-3-3-Skip communication cycle. The ideal candidate will be passionate about our mission, a strong communicator, and highly organized. This position is full-time. The Administrative Assistant will work closely with the Executive Director and Development Team to manage donor communications and scheduling, ensuring that leadership can focus on building transformational relationships with partners. What you'll do 1. Manage Partner Communication • Manage administrative tasks related to the 3-3-3-Skip strategy, tracking and organizing monthly communication among Development Reps. • Draft, personalize, and send Cultivation Letters, including: • * Writing compelling changed-life stories based on partner interactions. • Creating and formatting generic and personalized letter templates. • Managing mail-merging, printing, stamping, addressing, and mailing donor correspondence. • Maintain detailed records of partner interactions in CRM or Google Sheets, keeping donor databases and contact lists up to date. • Personalize outreach by referencing past interactions to build stronger relationships. • Maintain consistent messaging and branding across all donor communications, keeping in alignment with the Executive Director’s vision and communication style. • Serve as the first point of contact for inquiries via phone and email, maintaining professionalism and warmth. • Support the Executive Director in developing and sending out fundraising and stewardship emails as necessary. • Send weekly Thank You Receipts • * Write compelling receipts including changed-life stories and heart-felt thanks • Manage mail-merging, printing, stamping, addressing, and mailing 2. Event Planning • Assist in planning and executing PLM’s Vision Dinners, including logistics, speaker coordination, guest communication, venue negotiations, volunteer coordination, table host recruitment oversight, and timelines. • Manage RSVP tracking, table assignments, seating, check-in, and financial partner experience flow. • Coordinate event volunteers and staff roles to ensure smooth and professional execution. • Support follow-up strategies to maximize post-event engagement and long-term financial partner cultivation. • This individual will also help coordinate other, smaller financial partner events throughout the year (table host update dinners, namestorming parties, etc.) 3. Scheduling and Calendar Management: • Manage the executive calendar, ensuring donor meetings, calls, and key events are scheduled efficiently while preventing conflicts. • Schedule and coordinate monthly partner phone calls and personal visits, handling all logistics such as: • * Confirming meeting locations and materials. • Sending reminders and follow-ups. • Using partners’ preferences to personalize scheduling. • Use online tools like Calendly to streamline scheduling and reduce back-and-forth communication. 4. Administrative & Organizational Support • Organize and maintain donor records and correspondence for easy access and retrieval. • Monitor and respond to emails and calls, providing timely and thoughtful responses. • Assist with general administrative duties, including data entry, document preparation, and CRM management. • Provide support for fundraising events, including: • * Assist in planning and coordinating fundraising events, including the Vision Dinner, cultivation events, and donor outreach events. • Overseeing event logistics, including venue coordination and event materials. • Support leadership and development efforts by performing additional administrative tasks as needed.
