The Oregon Zoo is looking for a Program Coordinator - Campus Planning and Development to support work across all areas of the Campus Planning and Development Team, which is implementing zoo capital projects funded by the 2024 General Obligation Bond. These projects will encompass a wide range of areas, including public spaces, animal care facilities, aquatic and terrestrial animal habitats, life support systems, integration with existing control systems, and ADA improvements. In this role, you will work independently while reporting to the Director of Campus Planning and Development. You will be responsible for supporting the successful execution of these projects, ensuring they meet quality standards, budget, and timelines while aligning with the zoo's mission and goals. As the Program Coordinator you will: • Provide administrative support for internal, external, Oregon Zoo Bond Oversight Committee, and Metro Council meetings including project brief development; agendas; presentations; notes; meeting packets; distribution of information; tracking and follow-up of outstanding items; meeting space preparation, coordination, setup, and takedown; follow-up. • Maintains bond information with established policies and procedures, standards and best practices to comply with Metro’s Records and Information Management. • Support the research, development, and compiling of information for project briefs, reports, and presentations. • Coordinate the implementation of the Bond Communication Plan which includes but is not limited to managing bond updates to zoo staff via Zoogle and to the public via the Zoo Bond page on Oregon Zoo website. • Assist with the program budget including development and input of 5-year CIP into Clarity, annual program budget, pulling monthly reports for review by Managers and Director, and providing relevant information for dashboards. • Update and maintain Standard Operating Procedures (SOP) for the Oregon Zoo Bond Oversight Committee • Track sustainable building program application related to building operations following building occupancy. • Consolidate and format data for reports and track achievements including awards for design and construction. • Assist in the planning and execution of special events including construction groundbreakings, events, and exhibit openings; community events including focus groups; and bond specific zoo meetings. • Support the interpretive staff with front-end, formative, summative, and remedial evaluation of exhibit concepts, graphics, and exhibit elements. Assist with making mockups and prototypes, conducting interviews with visitors, timing and tracking of visitors, data entry, and coordinating evaluation on Zoo grounds. • Complete monthly reconciliation of Program credit card. • Track completion of procurement process to obtain a contract number. • Support team in acquiring, tracking, and closing out Purchase Orders. • Coordinate travel arrangements for team members • Manage office equipment and supplies. • Provides general onboarding for new team members. • Performs other duties as assigned.
