Provide administrative and operational support to ensure efficient facility and technology management and assist executive team with scheduling and projects. | High school diploma or equivalent with administrative or office operations experience and proficiency in Microsoft Office. | Description Position Summary The Operations Coordinator provides hands-on administrative and operational support to ensure the organization’s facilities, technology, supplies, and day-to-day operations run smoothly. This position works closely with operations leadership and external vendors and provides administrative support to the Executive Team as needed. Principal Duties and Responsibilities Facilities & Operations Coordinate routine facility maintenance, repairs, and vendor service requests. Assist with office moves, furniture assembly, workspace setup, and new site readiness. Monitor facility needs and escalate safety, maintenance, or operational concerns. Support emergency preparedness activities, drills, inspections, and related documentation. Purchasing, Supplies & Inventory Order, receive, unpack, organize, and distribute supplies and equipment. Monitor inventory and coordinate routine restocking. Maintain organized storage and supply areas. Track organizational equipment and assist with replacement and disposal. Technology & Equipment Support Coordinate routine IT needs and support requests with the Managed Service Provider (MSP). Coordinate EPIC (EMR) access for employees as needed. Assist with setup and deployment of computers, monitors, phones, printers, scanners, and other equipment. Maintain technology and equipment inventory. Coordinate equipment and workspace needs for employee onboarding and offboarding. Administrative & Executive Support Provide administrative support to the Executive Team as needed, including scheduling, meeting coordination, document preparation, and other administrative tasks. Assist with organizational meetings, trainings, events, and special projects. Maintain operational records, vendor information, service schedules, and other documentation. Provide general administrative and operational support as organizational needs arise. This description covers the primary responsibilities of the role, but it isn't meant to capture everything. Requirements Required Skills or Abilities Strong organizational and time-management skills, with the ability to manage multiple priorities and deadlines. Strong attention to detail and ability to maintain accurate records, inventories, and documentation. Excellent communication and interpersonal skills, with the ability to work effectively with employees, vendors, and leadership. Ability to learn and effectively use organizational technology and systems. Ability to coordinate facilities, equipment, technology, and vendor needs and follow through to resolution. Ability to work independently, use sound judgment, and identify and escalate safety, maintenance, or operational concerns. Ability to work effectively in a team and adapt to changing organizational needs. Ability to cultivate and develop inclusive and equitable working relationships with co-workers and community members. Ability to serve as an advocate for individuals of all ethnicities, genders, ages, and backgrounds. Required Knowledge, Experience, or Licensure/Registration High school diploma or equivalent. Experience in administrative, office operations, facilities, or a related role. Experience using Microsoft Office and other computer-based systems. Healthcare experience preferred. Ability to work onsite Mondays through Fridays during the hours of 7:45 am and 5 pm. Occasional Saturdays may be required. Ability to read, write, speak, and comprehend English fluently as needed to perform essential job functions, including patient communication, documentation, and safety-related instructions. Physical requirements of the Job With or without reasonable accommodation, this position requires the ability to: Sit, stand, and walk for extended periods during the workday. Routinely lift, move and/or carry supplies and equipment weighing up to 50 pounds. Occasionally push, pull, bend, stoop, reach, and climb stairs. Perform patient registration, appointment scheduling, and administrative tasks to support efficient patient care. | Requires customer service skills, healthcare administrative experience, and ability to manage multiple tasks in a fast-paced environment. | Description Position Summary The Registration Representative position is responsible for a variety of administrative tasks essential for the efficient care of patients at NeighborHealth Center (NHC), including handling incoming calls, scheduling appointments, and registering patients. Staff are required to document their work in the practice management system, attend to patients in a timely and professional manner, and keep their work areas in good order. Principal Duties And Responsibilities - Make appointments for patients. - Process appointment cancellations and rescheduling due to change in provider schedules as assigned by the supervisor. - Administrative functions such as scanning and uploading paperwork and managing call worklist. Patient Registration - Complete registration process for patient appointments, including demographic and insurance verification, patient management system data entry and revision, payment collection, chart creation, and other clerical work as necessary. - Assist patients, or refer them as necessary, with questions and completion of forms or applications related to their insurance coverage. - Prepare work area for the beginning of every business day, including clerical work, chart construction, and any other tasks as required by the clinical staff. - Process missed appointments, error reports, insurance pre-verification reports, and other registration-related reports as necessary. - Become familiar with and follow current protocols for all of the above-listed functions, as well as specialized functions such as the processing of lab-only visits, and other functions as necessary. Working standards and documentation - Greet and interact with all patients, staff and visitors in a pleasant and professional manner. - Monitor and update worklists and queues to ensure that no patients are subjected to unnecessary delays. - Thoroughly, accurately, and promptly document all work completed in the practice management system. - Be knowledgeable of and in compliance with applicable standards, laws and regulations by regulatory and accrediting organizations. - Regularly check mail, e-mail and voicemail and respond promptly and professionally to all inquiries. - Attend to shared responsibilities in each work area, including answering phones, cleaning, stocking, and organizing common work areas, and assisting with orientation and training of other employees as needed. - Work a reasonable schedule, which may include an assignment at any location and during any of the hours that NHC provides services. - Interpret for limited English proficiency patient/clients in the absence of an interpreter for scheduling/payment information if bilingual.
