Coordinate freight dispatching and perform office administrative duties to support lumber shipping operations. | High school diploma, strong communication and organizational skills, computer proficiency, and ability to manage multiple tasks in a fast-paced environment. | Freight Dispatcher / Office Assistant Job Summary We are seeking a dependable, organized, and detail-oriented Freight Dispatcher / Office Assistant to join our lumber manufacturing operation. This position is responsible for helping coordinate the daily movement of lumber and other freight, communicating with truck drivers, customers, carriers, and company personnel, and assisting with general office and administrative duties. The ideal candidate is a strong communicator who can manage multiple priorities, stay organized in a fast-paced manufacturing and transportation environment, and handle problems calmly as they arise. Experience in trucking, freight dispatching, logistics, manufacturing, or lumber is preferred but not required for the right candidate. Primary ResponsibilitiesFreight Dispatching & Logistics • Coordinate and schedule daily outbound lumber shipments. • Communicate load assignments, pickup information, delivery locations, and schedules to company drivers and outside carriers. • Monitor scheduled loads throughout the day and address delays, changes, or transportation problems. • Communicate with customers regarding delivery schedules and shipment status when necessary. • Work closely with production, shipping, sales, and management to ensure loads are ready and shipped on time. • Contact trucking companies and freight carriers to locate available trucks when additional transportation is needed. • Request and compare freight rates when necessary. • Maintain accurate records of loads, carriers, drivers, destinations, and freight costs. • Assist with bills of lading, delivery paperwork, load confirmations, and other shipping documentation. • Verify that completed loads and transportation paperwork are accurate. • Follow up on missing paperwork, delivery receipts, or other required documentation. • Help maintain an organized list of available carriers and trucking contacts. • Assist management in improving freight efficiency and controlling transportation costs. Office & Administrative Support • Answer and route incoming telephone calls. • Assist customers, vendors, truck drivers, and visitors as needed. • Perform data entry and maintain accurate electronic and paper records. • Enter and update information in company computer systems. • Scan, file, copy, and organize documents. • Assist with invoices, purchase orders, shipping documents, and other office paperwork as assigned. • Prepare spreadsheets, reports, and other documents using Microsoft Office. • Assist other office personnel and management with administrative projects. • Maintain organized files and accurate records. • Perform other administrative and operational duties as needed. Qualifications • High school diploma or equivalent required. • Previous experience in dispatching, trucking, transportation, logistics, manufacturing, customer service, or office administration preferred. • Strong computer skills. • Working knowledge of Microsoft Outlook, Excel, and Word. • Ability to learn company software and transportation/production systems. • Strong telephone and written communication skills. • Excellent organizational and follow-up skills. • Must be highly detail-oriented and accurate. • Ability to manage multiple tasks and changing priorities throughout the day. • Comfortable communicating with truck drivers, customers, vendors, managers, and other employees. • Ability to make decisions and solve routine problems without constant supervision. • Dependable attendance and punctuality are required. Preferred Skills • Experience dispatching company trucks or outside carriers. • Knowledge of freight rates and transportation terminology. • Experience working with flatbed trucking. • Manufacturing or lumber industry experience. • Experience preparing bills of lading or shipping documentation. • Experience using transportation, ERP, accounting, or manufacturing software. • Strong Excel skills. Job Type Full-time Schedule Day shift, Monday through Friday. Additional hours may occasionally be required depending on shipping and business needs.
