General duties for administrative support include managing office operations and procedures, documenting Division and Branch activities, assisting with technical projects on a periodic or interim basis, and working closely with management and technical staff to ensure that administrative needs are met in a timely manner and in accordance with organization policies and procedures. The candidate should be able to multitask, prioritize work, and meet deadlines. The person should also be able to review multiple office calendars and develop an administrative task calendar to meet deadlines and support other office personnel. Responsibilities Specific tasks for which an Administrative Assistant may be responsible include: Answer and direct telephone calls and building visitors. General clerical duties (e.g., maintaining records; receiving, preparing and verifying documents; typing; filing; faxing; photocopying; mailing and shipping) in accordance with relevant agency policies and procedures. Use office automation software, to include word processing, forms handling, spreadsheet, and graphics support to prepare technical reports, presentations, and publications. Receive, perform quality control review, date-stamp and track invoices / utility bills and prepare them for payment by an authorized federal employee. Maintain a proactive posture and develop a working relationship with Federal Project Leads to fulfill on-site work requirements. Assist with preparation of simplified acquisitions and prepare orders for office supplies. Documentation preparation, including routing and monitoring official correspondence through agency document tracking systems. Travel preparation, including administrative support for travel authorization and reimbursement processes. Assist with the administration of time and attendance record-keeping. Assist with the tracking and documentation of vehicle and vessel usage. Management of office administrative support and procedures; office meeting preparations. Documentation of Division and Branch activities; to include federal project lead calendar management. Periodic and interim technical project assistance; Assignment to unanticipated short term and emergency taskings; Work closely with both management and technical staff to ensure the achievement of tasking objectives; and to ensure that immediate tasking shortfalls are addressed and complies with corporate quality assurance procedures and policies. Provides seamless continuity for administrative support when overtasked or out of the office. This position will provide communications, coordination, and administrative support to facilitate congressional, interagency, and leadership engagement in support of the Marine Debris Program. This role will operate in a HYBRID capacity, with 2-3 days of work being performed in office in Silver Spring, MD, and the remaining days operating as work from home. Responsibilities Duties of the Marine Debris Communications and Policy Specialist will include the following: Provide clear, concise, and timely responses to information requested from NOAA, the Administration, Congress and external partners. Serve as the Executive Secretary of the Interagency Marine Debris Coordinating Committee. Support congressional and leadership engagement, including the development of briefing materials, coordinating with staff, and scheduling. Serve as the media lead for the office; coordinate, and respond promptly to inquiries. Fulfill timely communications related requests from the Marine Debris Division Chief and Deputy Chief, such as drafting talking points and presentations, coordinating briefing materials, and supporting travel and scheduling, as needed. Support and coordinate agency processes, such as controlled correspondence, rollout plans, and Information Quality Act reviews Synthesize information, write, and copy edit materials for products such as reports, presentations, and web stories. Maintain the Marine Debris Division's intranet. Assist with special projects. Qualifications The Ideal Marine Debris Communications and Policy Specialist will have the following: A Bachelor’s Degree or Master’s Degree (preferred) in Marine Science, Environmental Science Management, Political Science, or related field. 4+ years related experience. Experience supporting senior- leadership by coordinating communications, preparing briefing materials, and facilitating information exchange in support of federal programs. Experience supporting or coordinating interagency committees, working groups, or collaborative bodies, including meeting logistics, documentation, and follow-up. Excellent written and oral communications skills. Strong organization skills. Experience translating scientific information into plain language. Experience copy editing documents. Ability to work independently as well as collaboratively with a wide range of individuals and within teams. Ability to work on multiple projects, be responsive to deadlines, and shift priorities as needed. Experience with the Adobe Suite preferred. Responsibilities The Corals Communications Director responsibilities include, but are not limited to: • Develop content for NOAA websites, newsletters, press releases, email announcements, and handouts. • Lead managing three social media accounts (X, Facebook, Instagram) for NOAA's Coral Reef Conservation Program. • Collaborate across NOAA offices to gather program successes and create stories, reports, story maps, and additional products. • Develop ideas for national web stories and press releases for the purpose of increasing public awareness and knowledge. • Collaborate with internal and external partners to generate messaging, stories, and products on coral conservation across multiple geographic scales. • Additional job duties include developing and delivering presentations, photography, website content maintenance, graphic design.
