This role involves daily interaction with the organization at all levels as well as external contacts. Our ideal candidate will be a self-starter who has excellent interpersonal skills, a keen attention to detail, an ability to work in a fast-paced environment, and a solid background in providing executive-level support. Scope of Job Duties: To be considered for this opportunity, you must at a minimum, demonstrate knowledge, skill and ability to: • Provide executive-level administrative support to the director and deputy director which includes organizing requests, scheduling meetings, developing agendas, performing research, creating, and updating detailed information, proof-reading and editing documents such as legislation, presentations, executive summaries, and reports with attention to detail using proper grammar, spelling, formatting, and punctuation. • Provide support to the Director's Office and Management Team, including developing and updating meeting agendas, and preparing summaries of meetings that capture key decisions and follow up actions. • Deliver excellent customer service with an emphasis on collaboration, teamwork, and results as this position will be the point of contact for the division to other county agencies and external customers. • Provide general office support by answering phones, preparing correspondence and reports, scheduling meetings and appointments, researching and compiling information, tracking and maintaining division work plans, updating templates and websites, and making recommendations for process improvements and streamlining procedures. May also support or lead the implementation of special projects. • Manage P-Card purchasing, reconciliation and administer Oracle EBS requisitioning for procurement and iExpense and travel administration. • Coordinate event planning and organize on-site and off-site events. • Oversee public disclosure requests, including coordinating with other staff in the Division and the County to ensure timely monitoring and follow up. • Maintain a system for tracking the progress of critical legislation, reports, and correspondence. Develop and maintain reports as needed. • Act as a system resource for SharePoint, and records lead by managing data; respond to users' inquiries and resolve complaints. WE ARE LOOKING FOR CANDIDATES WHO: • Have experience providing confidential senior-level administrative support that includes scheduling and calendaring, preparing agendas, proof-reading and editing of correspondence and reports, preparing, researching and compiling information, making travel and other logistic arrangements, maintaining logs, updating templates, answering phones, and responding to public disclosure requests. • Possess initiative and resourcefulness to gather information that helps keep the director and deputy director apprised about emergent issues. • Can think critically to identify and resolve issues independently with a solid sense of accountability and sound personal judgment. • Have a strong communication style, interpersonal, writing and customer service skills. • Are able to be proactive and exercise good judgement in deciding when to handle an issue and when to escalate an issue to upper management. • Have experience using the P-Card for purchasing, performing reconciliation, preparing requisitions in iProcurement Tool / Oracle EBS Requisitioning system. • Are able to manage time and adapt to changing priorities, work on multiple priorities and projects simultaneously. Meet quick deadlines, and produce timely, reliable and high-quality work products. • Have experience in developing and/or editing correspondence, reports, and presentations. Experience with LEAN processes and principles, including development of standard work to support administrative processes. • Are able to communicate respectfully and effectively, both orally and in writing, with individuals from diverse backgrounds. • Are skilled in using multiple systems and applications including Microsoft Office Suite, including Word, Excel, PowerPoint, and SharePoint (Visio is a plus!). This position requires independent problem-solving skills and strong communication skills to provide administrative leadership to a diverse group of program staff, and other County staff in support of the program. The position is responsible for a broad and varied set of administrative services across two separate but connected sections of the program. The work is performed on an independent basis within established guidelines and procedures and may be asked to handle sensitive and/or dynamic situations. This position reports to the Street Medicine Team Program Manager, collaborates with HCHN Operations Manager, and will supervise 2 Administrative and programmatic staff. Background About the Health Care for the Homeless Network and the Street Medicine Team: Health Care for the Homeless Network (HCHN) directly provides and contracts with 16 community-based agencies to provide medical, dental, behavioral health, substance use, and case management services to vulnerable individuals and families experiencing homelessness in Seattle and King County. The direct service provision is through our Street Medicine Program, with 4 field-based teams providing health services to people experiencing homelessness. Services are provided in shelters, day centers, on the street, and in other locations where people experiencing homelessness congregate. The Street Medicine Program seeks out and brings medical, behavioral health care and social services directly to people living outside, i.e.: “rough sleepers”. The Street Medicine team aims to engage people in health education, professional and peer support, and treatment for their medical and behavioral health conditions via a trauma-informed, antiracist and harm reduction approach. The Regional Office of Gun Violence Prevention (ROGVP) is housed within the division and takes a public health approach to addressing gun violence in King County. Coordinating events, meetings, and trainings: • Support Community Violence Intervention (CVI) program implementation and provide contract and partner management for Regional Peacekeepers Collective (RPKC) and CVI Academy. • Co-facilitate meetings, manage communication with local and national partners, coordinate trainings, and collaborate with community partners to plan and deliver CVI focused events. • Collaborate with key partners and external contractor(s) on the annual Together We End Gun Violence events. • Manage logistics and planning for safe storage lockbox giveaways in the community, including events related to National Gun Violence Awareness, Suicide and Mental Health Awareness Day/Week/Month etc. • Work with partners to plan and deliver events and record data to support regular enterprise-level reporting on this strategic priority. • Provide support and serve as a back-up to ROGVP’s Community Engagement Specialist in planning and facilitating advisory group and community safety meetings. Experience, Qualifications, Knowledge, Skills Ideal Candidate: • Bachelor's Degree in any field AND two (2) years of relevant experience OR any equivalent combination of experience and education that provides the applicant with the skills, knowledge, and abilities required to perform this job. • Direct experience in the field of gun violence prevention, including work supporting implementation and promotion of Community Violence Intervention (CVI) models. • Knowledge of a public health approach to address gun violence. • Strong organizational and project management skills. • Ability to manage and prioritize multiple shifting priorities and work under deadlines while being flexible to changing needs. • Demonstrated experience providing project management support for multidisciplinary teams, including experience creating, adjusting, and monitoring workplans and timelines. • Demonstrated ability to work collaboratively and successfully with a diverse group of both internal and external partners, including contracted community- and hospital-based partners, law enforcement, criminal legal system representatives, and municipal leaders. • Demonstrated experience managing planning and logistics for large-scale conferences, meetings, and events. • Experience project managing grant proposal development with internal and external partners under tight timelines, ensuring the proposal meets the funder’s requirements and that all required components of the application are submitted. • Deep knowledge of equity and social justice principles and practices and understanding of the effects of place, race, and policy and systems-based inequities on communities and populations that have been marginalized and most directly impacted by gun violence. • Proficiency in Microsoft Outlook, Word, and Excel. - Proficiency using and supporting teams to effectively utilize SharePoint and Microsoft Teams. Desired Candidate: • Familiarity with grant making and contract development, including developing request for proposals (RFPs), scopes of work, budget development, contract management, and invoicing. • Experience navigating the impacts of gun/community violence, systemic inequities, or trauma—particularly in ways that inform a deep understanding of the root causes and potential solutions to gun violence.
