The ideal candidate will serve as the first point of contact for our clients and visitors, providing exceptional customer service while managing various administrative tasks. This role requires strong organizational skills, proficiency in office management, and the ability to multitask effectively in a fast-paced environment. Responsibilities • Answer incoming phone calls and direct them appropriately. • Take clear, accurate messages. • Greet clients and visitors warmly, providing an excellent first impression of the company. • Perform data entry tasks, maintaining accurate records and filing systems. • Utilize QuickBooks for basic bookkeeping and financial record management as needed. • Assist with calendar management, scheduling appointments, and coordinating with technicians. • Provide clerical support including typing, proofreading documents, and preparing correspondence. • Maintain office supplies inventory and order as necessary to ensure smooth operations. • Handle customer inquiries with professionalism, offering support and solutions to enhance client satisfaction. • Collaborate with team members to ensure efficient office operations and contribute to a positive work environment. Requirements • Previous experience in a front desk or receptionist role is preferred. • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and QuickBooks is helpful. • Strong computer literacy with the ability to quickly learn new software applications. • Excellent organizational skills with attention to detail and accuracy in data entry tasks. • Strong customer service skills with a friendly demeanor and professional phone etiquette. • Ability to manage time effectively while juggling multiple tasks in a busy environment. • Familiarity with office management practices and procedures is beneficial.
