Office Assistant 2 The Role This position is in support of the Washington Gambling Commission’s Licensing and Electronic Gaming Unit. The Office Assistant performs a variety of routine clerical duties such as processing documents and records, extracting and compiling records or data, responding to routine inquiries concerning office/departmental services and procedures, maintaining, and monitoring established record keeping, filing and database systems, and producing forms, letters, record entries, and other material. May perform data retrieval and modification and enter data on numerical or alphabetical data entry equipment. Responsibilities • Retrieve, date stamp, and reconcile mail items, sorting out items that involved payments vs general mail (no money handling involved, paid items are stamped with validation numbers). • Process outgoing mail • Data entry of applications into our database • Scan paper applications and attachments into ILINX and Laser Fisch • Archive files • Prepare commercial files for scanningMonitor licensing video tablet when someone rings the connected bell in the lobby (applicants or general public) Education • High school graduation or GED equivalency. • One to two years of general clerical or administrative experience required.Education usually can substitute year for year for experience. Perform QA reviews, analyze results, lead operational improvements, maintain documentation, and assist with audits. | 2-4 years experience in quality assurance or related fields, intermediate knowledge of QA/auditing, basic process analysis, and preferably professional certification. | Summary: The Quality Analyst performs Quality Assurance reviews of moderately complex departmental processes and transactions to provide departmental management with feedback regarding adherence to quality standards and operational improvement opportunities. Job Responsibilities: • Creates and maintains Quality procedural documentation and repositories. • Analyze the results of QA review and provides the Senior Analyst/manager with feedback on root causes, trends, and operational improvement opportunities. • Participate and lead small to medium scope operational improvement initiatives. • Builds a network of contacts inside and outside the company to identify and share best practices with the Quality Team. • Execute QA testing strategies that elicit data for use by management in the continuous improvement of departmental processes • Analyze root cause, impacts and trends of errors identified in QA review and provide results to manager/Senior Analyst • Identify opportunities for operational improvements and make recommendations to the manager/Senior Analyst. Lead small scope projects to implement improvements in efficiency or effectiveness • Assist internal & external auditors with various audit testing • Build a network of internal and external contacts Skills/Qualifications: • Intermediate knowledge of quality assurance or auditing standards and techniques; basic knowledge of control frameworks and risk analysis models. • Basic knowledge of process analysis, particularly in identification of opportunities to streamline and improve customer service. • Intermediate to advanced data analysis skills in either MS Access or MS Excel. • Professional certification preferred: CIA, CPA, ASQ or LEAN/Six Sigma Education/Experience: • Experience in accounting, quality assurance, auditing, disability benefits administration, or an equivalent combination of education and/or relevant experience.
