Coordinate office relocations, IT equipment setups, vendor management, event setups, and support facilities operations. | 1-2 years experience in project or move coordination, knowledge of move processes and furniture systems, proficiency in Microsoft Office, and strong client management skills. | Job Title Moves & Events Coordinator Job Description Summary The role of the Moves & Events Coordinator is to assist with the planning, coordination and implementation of inter office relocations, logistics moves, IT equipment setup, Events setup, and various furniture, fixtures and equipment (FF&E) configuration requests. This role is highly interactive and requires a strong customer service orientation. Job Description Job Details · Provide operational and procedural support to ensure projects are executed in accordance with established departmental, building, and client policies and procedures. · Manage all relocations and computer set-ups for client new hires. · Receive all requests for group/individual end user moves, support scheduling, execution and vendor management. · Support maintenance of a central database housing space configurations and furniture layouts. · Ensure vendors comply with building standards and policies, maintaining information in database system, furniture documentation, and move documents. · Issue work orders for approved projects to contractors, supervise furniture and related equipment moves, receive and verify invoice payments. · Produce regular reports and administer customer satisfaction surveys in compliance with established contractual performance indicators. · Coordinate project space / moves plans and information with vendors, and escort vendors at all times while vendors are onsite. · Provide support to Concierge program, including food and beverage program, assist with setup and breakdown of furniture, refreshments, and décor for company events and holidays. · Support Facilities team by providing consistent coverage to mailroom during peak hours, as well as other Facilities related tasks. · Any and all other duties or necessary tasks as assigned. Qualifications: One to two (1-2) years of experience in project or move coordination preferred. Working knowledge of move processes and furniture systems. Experience with database work order or CAFM system. Excellent critical thinking and time management skills, ability to work both independently and in groups. Ability to develop excellent client relations, client management, and consultation skills. Software proficiency in Microsoft Outlook, Word, PowerPoint, Excel. Bilingual English/Spanish a plus. The company will not pay less than minimum wage for this role. Directly supporting the facility management team with on-going facility and team related responsibilities. ESSENTIAL FUNCTIONS AND RESPONSIBILITIES • Provide general overall facility management services including continuous monitoring of office/facility • Address client inquiries and concerns ensuring timely and quality issue resolution and service delivery • Follow up with clients to ensure customer satisfaction • Respond to all facility inquiries and complaints, verify problem and take the necessary corrective action • Remain knowledgeable regarding all operational aspects of building systems • Coordinate with outside contractors for the service and repairs of equipment • Follow protocol for effective building-specific maintenance and safety procedures • Maintain on-going communication with contractors, client, and team • Assist with the inspection of the sites within the assigned building portfolio • Create work orders and assign work orders to the engineering staff, subcontractors and vendors • Report on open and closed work orders and check the status of open work orders with the assigned party • Request, review and submit work orders, bids and proposals from vendors • Verify final invoice pricing and process payments in a timely manner • Assist in the monitoring and assessment of vendor performance • Train vendors on work order and billing procedures • Manage complex work orders such as environmental issues and disaster recovery • Manage service and performance of vendors and landlords for timely completion of jobs • Create and record appropriate written communication between all parties • Schedule and document maintenance and repairs on building equipment • Communicate frequently with client, landlords and vendors to resolve issues and provide project status updates • Provide process and procedures training and direction to new associates • Coordinate special events in support of client • Assist with measuring and reporting key performance indicators against service level agreements • Provide facilities helpdesk services on behalf of the client(s) and monitor internal/external workflow for all facilities cases to ensure consistent quality of service and work product KEY COMPETENCIES 1.
