Our overarching goal is to end homelessness among youth and young families by helping them achieve housing stability, heal from trauma, tap into their innate resilience, and hone their interests and skills to forge new pathways to independence. This work is carried out across Covenant House sites in 34 cities in the US, Canada, Mexico, Guatemala, and Honduras. About the Role In this role, you will report directly to the Coordinator, Development Operations, and will be responsible for supporting the Development department’s receivable and payable functions. Your primary focus will be on managing daily tasks related to gift entry and expense processing, with occasional administrative support provided to department leadership. Play a vital role in supporting our mission by ensuring accurate donation tracking and financial processes, all while working in a purpose-driven, collaborative nonprofit environment! The annual salary range for this position is $48,960 to $59,160, which equates to $26.90 to $32.50 per hour. Please note that our standard workweek is 35 hours. Essential Duties and Responsibilities: Accounts Payable: Assist in monitoring and tracking department expenses File and organize department contracts Submit invoices, check requests, credit card bills and expense reports Accounts Receivable: Collaborate with the accounting department to properly record donations in CRM Maintain donation trackers, when needed, to supplement information in CRM Support pledge reminder and collection process via various systems including CRM Support tracking and record keeping for in-kind, stock, planned and other non-traditional gifts Assist with the reconciliation process of third-party donations for recording in the CRM Additional responsibilities: Provide administrative and project support for department leadership as assigned Generate fundraising reports related to events, campaigns, specific donors, etc. Support collaborative solicitations between CHI and partnering sites Required Knowledge, Skills and Abilities: Experience with spreadsheet software is a must, knowledge of pivot tables is a plus. Experience with Microsoft 365 (including Outlook, Teams, and Excel) or Google Suite for nonprofit. About the Role The Coordinator, Planned Giving is responsible for leading administrative and operational support to the Planned Giving department. In this part-time role, you will report directly to the Vice President, Planned Giving. You will be a key player and contributor for the team with the opportunity to help streamline and organize planned giving-related systems and processes. This is a part-time position expected to work 21 hours per week. This position is not eligible for health benefits. Essential Duties and Responsibilities • Execute the process for managing donor responses generated from planned giving marketing efforts, including entry of data into the constituent relationship management system (CRM) and overseeing the mailing of materials to donors • In collaboration with the Vice President, Planned Giving, administer the Gift Annuity and Trust programs by assisting in preparation and mailing of proposals and annuity documents, compiling internal memos, entering data to the CRM, and organizing hard and digital copies of annuity and trust documents • Track and report the results from planned giving marketing efforts • Prepare and execute small-scale mailings for identified donor segments. • Enter data regarding planned giving donors into the constituent relationship management system and review the data to ensure data it is accurately incorporated in the CRM • Regularly prepare reports from the CRM • Support the execution of the stewardship plan for Covenant House’s legacy society by preparing welcome packet mailings Required Knowledge, Skills and Abilities • Team player with the ability to work with multiple deadlines, sensitive information and all levels of management • Exceptionally detail-oriented • Ability to work independently • Knowledge of principles and practices of project management • Demonstrated competence and familiarity with standard software for business environments like Google Suite and Microsoft 365 • Demonstrated competence and familiarity with computer programs that support fundraising, including CRMs and project management software • Must be passionate about and dedicated to the mission of Covenant House Required Qualifications • 1-3 years of project management and administrative experience, preferably in the fundraising or legal fields Preferred Knowledge, Skills, Abilities and Qualifications • Basic Planned Giving knowledge a plus • Experience with Microsoft 365 a plus Travel Requirements • Hybrid – Majority remote with the expectation of required on-site work in Manhattan to 2 - 3 days per month as needed • Attendance at events and meetings in Manhattan will be required occasionally throughout the year Work Schedule • We offer flexibility to assign your own weekly hours within our standard work week and core business hours • Our standard work week is Monday-Friday, and our core business hours are 9 a.m. to 5 p.m. EST • Expectation of 21 hours per week Our Community Our critical mission demands that we have all voices at the table.
