Assist with mail operations, communications, calendar management, intranet updates, and event logistics to support global operations. | Minimum of 2+ years in administrative or operational support roles, proficiency in Microsoft Office, strong communication skills, and ability to handle multiple projects. | Role: Global Operations Administrator Location: • Clearsulting is headquartered in Cleveland, OH, with additional offices located in Chicago, IL; Columbus, OH; and Dallas, TX. • This will be a hybrid role based in Cleveland, OH. Below are some of the awards and accolades that honor our commitment to excellence: • Sunday Times Best Places to Work Award (2025) • Great Place to Work' Certified (2022-2025) • Fortune's Best Workplaces in Consulting (2022-2024) • Inc. 5000 Fastest-Growing Private Companies in America (2020-2023) What You'll Do : • Oversee mail operations, including, receiving, sorting, distributing and scanning incoming correspondence, while managing and monitoring the company's phone and voicemail systems to ensure timely responses. • Draft, proof and create communications content, as directed by Global Operations leadership team • Manage the calendar for firmwide events, including scheduling meetings, sending invites, collecting content and drafting slide decks. • Maintain and update Clearsulting intranet homepage, ensuring content is current, relevant and accessible for all employees . • Draft and distribute the firm's weekly internal communications to provide global initiatives, policy updates, operational changes, upcoming events and friendly reminders. • Assist in submitting state registration and annual renewals and other misc. compliance items • Provide logistical support for company events • Serve as the point of coordinator for Global Operations leadership team's ad hoc needs • Work alongside the Global Operations leadership team to streamline workflows, standardize template, automate processes and assist them with any ad hoc project needs. What You'll Bring: • 2+ years of professional work experience in providing administrative/operational support or event planning/management • Proficient in Microsoft Suite (Outlook, Word, Excel, PowerPoint, CoPilot) • Strong verbal and written communication skills Nice-to-Haves : • Effective organizational and time management abilities, demonstrating success in handling multiple projects, prioritizing tasks and meeting deadlines. • Capable of working independently while collaborating effectively within a team environment. • Adaptable and flexible, thrives in a dynamic, fast-paced global organization. • Detail oriented and proactive • Proven ability to maintain confidentiality and handle sensitive information with discretion • Experience managing state registration and renewals, ensuring compliance with regulatory requirements. Assist in developing executive-level presentations to communicate complex issues and recommendations across processes, systems, and people. Technical Knowledge: Implement intercompany solutions that transform client processes, including BlackLine or similar technologies – including intercompany transaction processing/invoicing, intercompany allocations, transaction matching, reconciliation, accounting and reporting processes. Create and deploy digital dashboards to understand client’s intercompany processes and provide key insights into opportunities for transformation. Functional Knowledge: Deep dive and understand end to end intercompany processes and policies and incorporate leading practices to make recommendations and map solutions. IC Process & Build: Configure intercompany capabilities (e.g., transaction creation & invoicing, matching/reconciliation, netting & settlement, journals) in BlackLine or similar platforms according to design; execute test cases and document results. Structured Analysis: Map current‑state IC trade flows end‑to‑end; identify upstream/downstream impacts and improvement opportunities; draft clear issue logs and recommendations. Data & Integrations: Prepare and validate data extracts/templates; support interface testing and exception handling; maintain traceable assumptions. Engagement Support: Own well‑defined workplan tasks; keep status, risks, and decisions current; escalate blockers early with proposed options.
