Manage front desk operations, process orders and invoices, maintain filing systems, and support office management tasks. | Proven administrative experience, proficiency in Microsoft Office, strong organizational and customer service skills, and ability to multitask effectively. | Job Summary We are seeking a detail-oriented and organized Administrative Assistant. The ideal candidate will provide essential support to our office operations, ensuring smooth communication and efficient workflow. This position requires a proactive individual with strong computer skills, excellent customer service abilities, and the capacity to manage multiple tasks effectively. Duties • Manage front desk operations, including greeting visitors and handling inquiries with professionalism. • Operate multi-line phone systems, ensuring effective communication within the office and with clients. • Perform data entry tasks accurately and efficiently, maintaining up-to-date records and files. • Process customer purchase orders by reviewing them for accuracy and entering them into shop management software. • Performs sales activities such as pre-quoting and pricing. Enter quotes into shop management software and submitting them to customer. • Accounts receivable duties such as invoicing customers, following up on payments and submitting monthly statements to customers. • Maintain organized filing systems for both physical and digital documents. • Proofread documents for accuracy and clarity before distribution. • Routing purchasing of office supplies and orders for shop equipment/supplies as directed by management. • Performs other duties as directed by the Office Manager. Requirements • Proven experience in an administrative role or similar position is preferred. • Proficiency in Microsoft Office (Word, Excel). • Strong organizational skills with the ability to prioritize tasks effectively. • Excellent phone etiquette and customer service skills to interact positively with clients and colleagues. • Demonstrated ability to manage time efficiently while handling multiple responsibilities simultaneously. • A background in office management or personal assistant roles will be considered an asset.
