Manage class schedules, communicate with students and parents, handle tuition fee reconciliation, and provide illustration support for art and fashion classes. | Strong drawing and illustration skills, organizational and communication abilities, basic finance skills, and tech-savviness with Microsoft Office or Google Suite. | Job Overview Lilit Art & Fashion School seeks a proactive, organized, and creative individual to fill the role of Administrative & Illustration Coordinator. The successful candidate will combine strong drawing/illustration skills with administrative capabilities—managing class schedules, communicating with students & parents, and handling tuition fee reconciliation & collection. Key Responsibilities • Drawing Duties • Assist in developing lesson materials, examples, and visual aids for fashion and art classes. • Prepare sketches, illustrations, fashion flats or mood boards as needed to support curriculum. • Review students’ art/fashion work and provide basic visual feedback or help organize critiques in conjunction with instructors. • Administrative & Coordination Duties • Create and maintain the class schedule: track which courses are offered, class times, instructors, room / studio availability. • Coordinate with instructors to ensure smooth operation: changes, cancellations, substitute teachers, etc. • Act as point of contact for students and parents: answer queries (via email, phone, in person), inform them about schedules, materials needed, events, etc. • Manage student enrolment records and maintain accurate databases of students, classes, attendance. • Finance & Tuition Duties • Prepare tuition/fee invoices, issue bills to students/parents monthly. • Reconcile payments: track who has paid, who is outstanding; follow up on late or missing payments. • Deposit or transfer collected fees per school policy; keep financial records up to date. • Provide reports on tuition income vs. forecasts; highlight discrepancies. • Other Duties • Assist with marketing or social media visuals as needed (posters, Instagram content, promotional materials) that require illustration or design sensibility. • Order supplies or art materials, maintain inventory. • Support events, exhibitions, shows or open houses: logistics, setup, participant coordination. Required Skills & Qualifications • Strong drawing / illustration skills: ability to produce clean, accurate sketches and visual work. • Familiarity or interest in art and fashion design; understanding of basic fashion illustration a plus. • Excellent organizational skills: able to manage multiple tasks (scheduling, communications, finance) with attention to detail. • Good communication skills: verbal, written; able to engage professionally with students, parents, instructors. • Basic finance / accounting skills: invoicing, record keeping, reconciliation. • Tech savvy: comfortable using tools like Microsoft Office (Excel, Word), or Google Suite; familiarity with scheduling and/or student management software is a plus. • Reliable, proactive, and able to problem-solve; ability to handle sensitive information professionally. Preferred Qualifications • Previous experience working in an educational or arts environment. • Experience with fashion/art schools or knowledge of curriculum in these areas. • Experience in customer service or parent liaison roles.
