POSITION PURPOSE The Integrated Marketing Specialist supports the development and execution of BDI’s B2B marketing and communication projects. Under the strategy and direction of the Senior Marketing Manager, this position produces high quality marketing work across multiple channels, including copywriting, design, digital publishing, CRM management, and task flow coordination. This role supports the delivery of BDI’s marketing projects and campaigns by executing assigned tasks with accuracy and consistency. The Integrated Marketing Specialist collaborates closely with BDI teams to execute ongoing marketing initiatives, support internal and external communications, and contribute to the agency’s overall brand visibility and business development goals. ESSENTIAL DUTIES AND RESPONSIBILITIES Marketing & Communications Development - Writes and designs BDI marketing and communication projects - Produces content for emails, social media, website updates, promotional materials, and internal/external communications - Supports the creation and deployment of BDI newsletters, marketing articles, social posts, and other scheduled communication pieces - Ensures all marketing content aligns with BDI brand guidelines, tone, and quality standards Digital Execution & Publishing - Builds and deploys digital marketing assets including emails, landing pages, social graphics, and web updates - Prepares and publishes content through BDI’s website CMS, email platform, and social scheduling tools - Performs basic QA checks for formatting, links, branding consistency, and cross-channel alignment Marketing Systems - Opens new projects in CRM and maintains accurate, organized records for marketing projects - Maintains BDI’s Marketing database in HubSpot, and content library in Media Valet, ensuring accurate tagging, categorization, and storage - Oversees basic marketing schedules and task flows within Workfront to ensure accuracy and timely routing across teams - Maintains organized, accessible marketing files, templates, and brand assets Cross-Department Collaboration - Works closely with Project Management to coordinate timelines, deliverables, and schedules for marketing projects - Collaborates with Creative and Digital teams to route assets, request design needs, and support content production as needed on high-level projects - Attends Tactical meetings to lead data entry and maintenance of marketing projects in CRM - Attends Marketing Creative meetings to receive direction for copywriting and design - Executes assigned marketing tasks related to prospect-facing materials, presentations, and digital assets that contribute to BDI’s new business marketing efforts - Assists with internal marketing project tasks related to Client Service or People & Culture initiatives under the supervision and guidance of the Senior Marketing Manager General Marketing Support - Assists with special projects, event materials, BDI webinars, promotions, or internal initiatives as needed. - Supports photo, video, or studio projects as assigned (non-production role) - Helps ensure BDI marketing channels remain updated with relevant, accurate information - Completes additional duties as assigned to support the department’s goals. Assists the Senior Marketing Manager in coordinating swag and additional prospect materials for the New Business team - Other administrative and support responsibilities as assigned New Business Support - Executes day-to-day production and coordination for prospect communications, including proposals, RFPs, and follow-up deliverables under the direction of the Senior Marketing Manager - Supports prospect operations through logistical coordination and maintaining accurate, up-to-date records within HubSpot, including lead and opportunity data - Participates in prospect and new business meetings as requested to support communication flow, documentation, and next steps - Other administrative and support responsibilities as assigned skills and abilities SKILLS AND ABILITIES - Relationship Building: Must be friendly, trustworthy, knowledgeable, and professional - Communication Skills: Strong internal and external, written, and oral communication skills. Must be collaborative and enjoy working with a team - Reasoning Skills: Must demonstrate ability to define problems, collect data, interpret, and understand data and analyses, establish facts, and draw valid conclusions. The ability to manage a wide variety of tasks at one time is a must. Must be well organized - Technical and Creative Skills: • Highly creative, with the ability to generate fresh ideas and solve problems visually and verbally. • Proficient in Microsoft Office Suite • Proficient in HubSpot (preferred) • Experience working in CRM tools, and content management systems • Basic design competency • Ability to build and deploy email, social, and web content across multiple systems. Experience in WordPress preferred. - Organization Skills: Highly organized, with strong attention to detail; Ability to manage multiple projects, shifting deadlines, and fast-paced tasks; Effective at maintaining accurate data and structured content storage - Decision Making and Problem Solving: Must demonstrate the ability to exercise considerable independent judgment and discretion in determining objectives and approaches to assignments, and demonstrate flexibility to handle a substantial, fast-paced workload with many interruptions. Must possess strong interpersonal and problem-solving skills EDUCATIONAL REQUIREMENTS • BA or BS ideally in marketing, business, or communications • 1–3 years of experience in a B2B marketing or communications role preferred • Experience in copywriting, design, CRM platforms, or digital publishing is a strong plus.
