Responsibilities • Manage front desk operations, greeting visitors and directing inquiries professionally • Handle multi-line phone systems with courteous phone etiquette and provide exceptional customer support • Maintain organized filing systems, data entry, and accurate record keeping using Microsoft Office and Google Workspace • Assist in scheduling and calendar management for team meetings, appointments, and events • Support office management tasks including supply inventory, document proofreading, and general clerical duties • Coordinate with marketing teams on promotional activities, social media updates, and content dissemination • Perform bookkeeping tasks using QuickBooks to support billing, invoicing, and expense tracking • Provide administrative assistance such as typing reports, preparing correspondence, and supporting personal assistant responsibilities • Ensure efficient office operations by managing office equipment and troubleshooting basic technical issues • Uphold professional standards of communication both in person and via phone or email Qualifications • Prior experience in office administration or clerical roles within a professional environment • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools • Familiarity with QuickBooks or similar bookkeeping software is preferred • Excellent organizational skills with the ability to prioritize tasks effectively • Strong written and verbal communication skills; bilingual abilities are a plus • Demonstrated customer service skills with professional phone etiquette • Experience with data entry, filing systems, proofreading, and calendar management • Knowledge of office management practices including multi-line phone systems and front desk procedures • Ability to handle multiple responsibilities efficiently while maintaining attention to detail This position offers an engaging work environment where your organizational talents and administrative expertise will directly contribute to our operational success.
