Join a dynamic and growing team where your contributions make a difference! Job Summary: We are seeking an organized and detail-oriented Administrative Assistant to support our day porter division. This role is essential to ensuring smooth operations, effective communication, and successful (day-to-day) porter services are being completed. Responsibilities: • Monitor and ensure day porters and field techs follow scope of work. • Conduct daily walkthroughs to inspect cleanliness, repairs and adherence to standards. (Safety protocols as well). • Prepare, manage, and maintain project documentation, including contracts, permits, and schedules. • Serve as a liaison between clients, contractors, vendors, field technicians and internal teams to facilitate effective communication. • Track project progress and update reports to ensure deadlines are met. • Submit invoices, change orders, and approve contractor and vendor invoices, approve day porter technicians timecards. • Ensure compliance with company policies and industry regulations. Qualifications: • Previous experience in construction administration or a related field is preferred. • Strong organizational and multitasking skills. • Excellent written and verbal communication skills. • Proficiency in Microsoft Office Suite (Word, Excel, Outlook). • Familiarity with construction software is a plus. • Ability to work independently and as part of a team. • High school diploma or equivalent required; additional education in construction management or administration is a bonus.
