Overview The Grant Accounting Manager for Community Support Services (CSS) will work closely with CSS Finance and Accounting leadership to ensure all accounting and administrative processes are in compliance with Association Services and Leadership (ASL), Funder, and Regulatory requirements. This position is responsible for the creation of monthly Journal Entries, including reoccurring allocations, accruals, and transaction corrections. This position will monitor and reconcile all items posted to the General Ledger against submitted documentation and ensure that expenses and revenues post to the correct natural account. This position is directly responsible for ensuring all branch CSS Accounts Payable transactions are processed in both timely and accurately. The Grant Accounting Manager - CSS will be responsible for the supervision of the accounting team. WORK DESIGNATION: Remote (must work within San Diego County Region) Every other week in-person day at 30th street Office and an additional day a month of in-person trainings or team building events Please note that the work designation may change based on business needs. Responsibilities Supervise and motivate accounting staff to achieve departmental goals, encompassing recruitment, training, management, coaching, performance management, workflow oversight, and fostering staff development and recognition, while also assisting with daily/monthly tasks and projects Oversee comprehensive accounting procedures, encompassing accounts payable management, cash handling, cash advance, petty cash, expense report processing, and ensuring the prompt settlement of vendor invoices and expense vouchers while maintaining accurate records and control reports Ensures adherence to YMCA policies, procedures, and financial reporting requirements while providing ongoing communication with ASL to ensure compliance with all accounting functions Generate and submit complex monthly adjusting Journal Entries, accompanied by all necessary supporting documentation, for final approval Oversee and facilitate continuous training sessions for direct reports and branch staff, covering accounting and administrative procedures and processes, including, but not limited to, invoice coding, expense report documentation, and Independent Contractor paperwork. Verify the accuracy of all Journal Entries and Accounts Payable postings in the General Ledger, and perform necessary GL reconciliation and research Conduct End of Days (EODs) for the designated region, compile month-end packets, audit petty cash submissions, monitor cash hand receipts, and routinely perform quality assurance checks on Accounts Payable processes Oversees and monitors the accounts payable function for all branches within the region Oversee the quality assurance of both accounts payable functions and journal entries Supervise the compilation and consolidation of all audit and claim-related backup documentation Perform other administrative tasks as assigned and assist with maintaining proper document storage and auditing Participate in and attend all required staff meetings, trainings, YMCA staff development events and appropriate agency-wide committees TRAVEL REQUIREMENTS: Must have access to reliable transportation to travel throughout San Diego County SUPERVISORY RESPONSIBILITIES: Accounts Payable Clerk, Junior Grant Accountant - CSS Qualifications Bachelor's degree in Accounting, Business, or a related field, or equivalent work experience required Minimum five years of administration, accounting, or finance work experience required 1 to 3 years of supervisory or management experience required Accounting/GAAP knowledge required, with Non-Profit experience a plus Experience working in an accounting environment involving compliance with specific governmental regulations preferred Advanced knowledge of Microsoft Office Suite, with an emphasis on Excel, Word and PowerPoint Working knowledge of Kronos, NetSuite and Adaptive is strongly preferred JOB COMPETENCIES: Effective communication skills, both internally with staff, peers, and management, as well as externally with clients, regulators, and community partners Proficiency in analytical skills, particularly in assessing organizational processes for efficiency and policy compliance, with the ability to recommend and implement necessary changes Excellent interpersonal, presentation, written and oral communication skills High proficiency in organization, planning, communication, and administrative procedure implementation Outstanding critical thinking and troubleshooting skills with a keen attention to detail Ability to work in a very diverse setting with people of all backgrounds, cultures, and orientation Must be able to work independently and collaboratively as part of a team Ability to establish and maintain working relationships with staff and community partners Demonstrate initiative, resourcefulness and problem-solving skills Ability to handle confidential information responsibly Must be self-aware, flexible, adaptable and teachable Strong prioritization skills to meet established deadlines Ability to work effectively with others in alignment with the YMCA 4 Core Values; Models the 4 Core Values in all aspects of position responsibilities PRE-HIRE CONTINGENCIES: Licensing, state law and our funders require that applicants of critical positions within Community Support Services be fingerprinted, prior to reporting to work, and include subsequent arrest notifications Position may require additional clearances in order to comply with all program, licensing, state law, and funding requirements: Exclusion and Debarment checks prior to first day and monthly thereafter YMCA will consider qualified applicants with a criminal history pursuant to the San Diego County Fair Chance Ordinance and the California Fair Chance Act.
