• Position Title: Accounting Operations Coordinator • Classification: Hourly Non Exempt • Reports To: CFO • Pay Range: $24$28/hour • Location: Home Office 191 18th Street, Lynden WA (this is not a remote position) Brief Description: This role is responsible for accounts payable, bookkeeping, and payroll preparation functions while also taking ownership of enhanced financial reporting, systems implementation, inventory support, benefits management, and cross-departmental operational support. This position requires a proactive, detail-oriented team member who is adaptable, technologically proficient, and committed to continuous improvement. This is a full-time, in-office position with a Monday through Friday schedule. Work hours may vary based on project demands and organizational needs. The ideal candidate is flexible and willing to assist with administrative projects as needed. Professional attributes: • Positive and professional communication skills. • Organized, detail oriented, punctual, and dependable. • Creative and confident at problem solving. • Strong sense of integrity and honesty. • Contributes to a healthy team environment and helps support coworkers. • Ability to keep up in a fast paced work environment. • Adaptable and eager to learn.Responsibilities:Accounting & Bookkeeping- • Maintain all accounts payable functions in QuickBooks (or successor system), including vendor setup and maintenance, yearend 1099 filings, invoice processing, expense coding, and payment management. • Reconcile bank accounts, credit cards, and key balance sheet accounts monthly (i.e. petty cash and cash on hand). • Prepare and submit quarterly B&O tax returns, monthly sales tax filings, and all required state and local business licenses and renewals. • Manage recurring monthly payments such as leases, utilities, insurance, and other recurring obligations.Financial Systems & Reporting- • Serve as lead accounts payable contact for implementation of new financial reporting software in 2026, including vendor coordination, data migration, training, learning the system’s functionality, and process documentation. • Develop and maintain standardized reporting templates to improve financial visibility across departments. • Support the CFO with budget preparation, forecasting, and variance analysis as needed.Inventory Management Support- • Participate in a monthly review of the inventory management system, validating current costs of goods from vendors and verifying data stored in the inventory database for accuracy. • Conduct periodic spot inventory counts in the warehouse to confirm quantities and reasonableness of recorded values. • Work closely with Operations to reconcile inventory variances, identify process issues, and ensure alignment between financial and physical inventory. • Provide insight into inventory valuation and cost trends to support financial reporting accuracy.Operational & Administrative Support- • Coordinate with Real Estate and Operations teams to set up utilities and accounts for new store openings. • Maintain accurate records of all contracts, renewals, and vendor agreements. Identify opportunities to improve processes, reduce costs, and increase efficiency in financial and operational workflows. HR & Benefits- • Prepare weekly payroll, ensuring hours, wages, tips, timeoff requests, etc. are accurately reconciled. • Work with and support HR Director with benefits tracking including eligibility dates and timely enrollment for new employees, maintaining eligibility of existing employees, plan management, supporting annual open enrollment activities by helping audit data for accuracy and completeness, and ACA compliance. • Respond to employment verification inquiries. • Support HR Director in various data entry tasks and projects.
