Job Title: Assistant Facilities Manager Salary Range: $100,000 – 120,000 Department: Facilities Supervisor: Facilities Manager SOC Code: 49-1010 NAICS Code: 531312 FLSA Status: Exempt Supervises: Building Engineers General Summary: This position’s responsibilities are to manage, support, and train the Building Engineer’s to ensure the proper maintenance and safety of a Class A commercial property to ensure optimal performance, tenant satisfaction, and compliance with industry standards. This role involves managing the day-to-day work activities of the Building Engineers and working with the Facilities Manager to maintain a high standard of excellence in building operations, sustainability initiatives, and emergency preparedness. Reporting Relationships: This position reports to the Facilities Manager. Essential Duties and Responsibilities: Management of Personnel • Provide leadership to staff members in all aspects of their job duties. • Fill in as Manager when Facilities Manager is not available. • Works directly with Facilities Manager to evaluate staff and teach/train as needed. • Attend weekly management meetings to have a better understanding of property issues. • Work directly with Facilities Manager to draft meeting agendas and lead meetings. • Works directly for Facilities Manager and helps with construction projects, staff development, safety training, and hands on projects. • Generate and maintain staff schedule including review of time off requests. • Track maintenance due dates and schedule vendors for maintenance according to schedule • Helps manage and direct staff to specific Work Order projects, help staff completed service orders as needed, and follow up upon completion of the work order. • Maintain documentation of all maintenance tasking as required by various government agencies. Work Orders • Oversee and manage distribution of all Tenant/Office generated Work Orders. • Communicate issues to the Facilities Manager when repairs/issues cannot be resolved in a timely manner. Vendor Management • Coordinate the appropriate vendor for maintenance tasking or projects outside the scope of the Building Engineers or requiring skills specific to a tenant/building operations. • Work with vendors to see maintenance is completed. Minimum Qualifications: • Working knowledge and capabilities with the Microsoft Office Suite • Must have general knowledge of building systems: • HVAC and DDC • Mechanical systems • Fire alarm systems • Sprinkler, plumbing and drain line systems. • Vertical Transportation systems Minimum Experience/Education: • Minimum of 3 years’ experience as an Assistant Facilities Manager (or equivalent) preferred • Minimum of 3 years' experience successfully managing and training people • Electrical safety training, required • Refrigeration Operators License, preferred • Refrigeration Mechanics License, preferred • Boiler Operators Level 4 Operators License, preferred • Forklift Safety Training Card, preferred • Current CPR & Basic First Aid certification, preferred Physical Requirements: The physical demands and work environment characteristics described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
