Job Requisition: JR100734 Director of Administrative Services (Law School) (Open) Job Posting Title: Director of Administrative Services (Law School) Job Family: Staff - Program Management Number of Openings: 1 Worker Sub-Type: Regular (benefited) Job Requisition Primary Location: Law School Primary Job Posting Location: Law School Job Description Summary: Reporting directly to the Senior Associate Dean for Administration, Finance and Operations, and working directly with other members of Law School and University leadership, the Director of Administrative Services will oversee the Law School’s Building and Administrative support functions and will ensure services being provided are of the highest quality and are conducted with the utmost professionalism. This position combines an array of management expertise, problem-solving skills, and human resources experience. The Director of Administrative Services must be accessible, responsive, responsible, and service-oriented. The individual must be an excellent communicator and problem solver with exceptional attention to detail. As a leader, the Director of Administrative Services must demonstrate an ability to interact effectively with people at all levels in the organization, college, and university. Job Description: The specific responsibilities and expectations of the position include: Assisting the Senior Associate Dean for Administration, Finance and Operations in management analysis, including planning for school initiatives and projects, and developing short and long-range space and staffing plans to improve operating efficiencies and drive positive change. Supervising the Law School Building Support Worker to coordinate with University Facilities and ensure the building is maintained to the highest possible standards; Supervising the Law School HR Coordinator and serving as a liaison with University HR, providing oversight of all Law School Human Resources activities (recruiting, hiring, etc.) to ensure compliance with University, State, and Federal guidelines. Overseeing the administrative team responsible for supporting Law School Events and the Audio Visual needs. Job duties and functions assigned to this position: 40% Human Resources Provide supervision of the Law School’s HR Coordinator and administrative oversight of all Law School Human Resources activities, including recruiting, hiring, department onboarding, personnel actions, training, and compliance. In coordination with University HR, oversee the recruiting and hiring process for all instructional faculty, staff, and student workers. Assist hiring managers and/or search committee chairs with preparation of position descriptions, employment advertising, and communicating approved offers. Coordinate Law School-specific onboarding programs for faculty, staff, adjuncts, and student workers, in conjunction with University HR. Ensure consistent adoption of HR processes that foster a high-performing, service-oriented culture. Collaborate with department managers and University HR to address personnel issues, analyze position and compensation requests, and ensure compliance. Maintain directories and Law School-managed systems access (e.g., Faculty Success). Serve as a resource for HR and payroll processes, ensuring timely and accurate transactions. Partner with University HR and the Director of Training and Development to provide professional development opportunities. 40% Building Management Oversee seamless operation of the physical facility and all building support activities, including: Supervise and act as backup for the Building Support Worker. Serve as liaison with Facilities to ensure building maintenance, manage work orders, and follow up on projects. Ensure availability of administrative and classroom supplies. Coordinate room scheduling with the Registrar’s Office and Events team to ensure space readiness. Manage storage, surplus, and retention of property. Serve as Building Emergency Coordinator. Oversee Law School parking needs in coordination with Parking Services. Coordinate building access assignments and key control. Provide recommendations for repairs, alterations, and operational improvements. 20% Event and Audio-Visual Services Provide leadership and supervision for the Law School’s event and audio-visual functions to ensure high-quality support for academic and co-curricular activities. Supervise the administrative team supporting Law School events and audio-visual needs. Oversee planning and logistical coordination for internal and external events, including academic conferences, student programs, and special functions. Ensure the effective use of technology to support instruction, events, and administrative needs. Develop and implement standards for customer service, event execution, and AV support. Collaborate with faculty, staff, students, and University partners to ensure event and technology resources meet Law School and University standards. Required Qualifications Bachelor’s degree in business administration, human resources management, or a related field or comparable combination of education, experience, and training. Proven track record of diverse experience in human resources, budget management, administration, operations, and customer service. Several years (usually 5 or more) of experience in human resources in a busy, professional office environment. Demonstrated strong communication skills and skills for developing effective working with external constituencies and with internal constituencies such as students, administrators, faculty, and staff. Proficiency with a variety of software applications including MS Office, HRIS systems, and ATS systems, with the ability to learn new applications efficiently and effectively. Ability to perform a variety of complicated tasks simultaneously and to work independently in a highly visible, fast-paced, team-oriented environment; Must be able to prioritize, make and implement decisions in a timely manner. Strong analytical and problem-solving skills with the ability to interpret and apply policies and procedures, exercise sound judgment and make reasonable, logical and defensible decisions. Preferred Qualifications Several years (usually 5 or more) of experience in Higher Ed, preferably at W&M. Experience working with university information and administrative systems, such as Workday, Banner, and PeopleAdmin. Conditions of Employment This is an exempt position. This position may require additional hours beyond the typical work week as needed to meet the business needs of the operation. Additional Job Description: Pay Range: Up to $75,000, commensurate with experience.
