Williams Student Health Center seeks an Administrative Assistant that will play a key role in supporting the daily operations of the College Health Center. Responsibilities: Greet students and visitors, providing excellent customer service in a confidential medical setting. Answer incoming calls, respond to inquiries, and schedule appointments in the electronic health record (EHR) system. Scan, organize, and maintain medical documents in the EHR. Process insurance pre-authorizations for medical procedures in accordance with guidelines. Coordinate referrals and schedule appointments with outside specialists and testing facilities. Oversee prescription medication deliveries to the clinic, ensuring proper handling and documentation. Arrange transportation for students to medical appointments as needed. Maintain and manage student medical records in compliance with privacy and confidentiality regulations. Provide general administrative support to healthcare staff and assist with other tasks as assigned. Qualifications: Associate’s degree, or equivalent experience is required. Between 2 - 5 years of administrative experience is required, preferably in a healthcare or medical office setting. Strong organizational skills with attention to detail and accuracy. Excellent communication and interpersonal skills with a customer service focus. Proficiency in Google Office Suite and experience with electronic health record systems. Knowledge of insurance processes, including pre-authorizations and referrals. Ability to handle sensitive and confidential information with discretion Familiarity with medical terminology. Preferred Qualifications: Experience working in a college health, student health, or higher-education environment. The Student Health Center Administrative Assistant is a 40 hour per week, 9-month academic year, benefited position reporting to the Health Center Administrator. This position involves a significant amount of on-site presence, so no remote or hybrid work arrangement is available at this time. Pay range is from $25 - $27 per hour, commensurate with experience.
