Our client, a forward-thinking professional services firm, is actively seeking a highly organized and proactive Senior Administrative Manager to lead their remote administrative operations. This is a fully remote position, allowing you to contribute from anywhere within the US. As a remote-first organization, we champion efficient virtual collaboration and digital workflow management. The ideal candidate will possess exceptional organizational skills, a keen eye for detail, and a proven ability to manage diverse administrative functions autonomously. You will be responsible for streamlining office procedures, managing calendars and correspondence, coordinating virtual meetings and events, and providing high-level support to senior leadership. This role demands excellent communication skills, proficiency in a wide range of office software, and the ability to anticipate needs and proactively solve problems in a virtual environment. Key Responsibilities: Oversee and manage all aspects of remote administrative operations, ensuring seamless workflow and efficiency. Provide comprehensive administrative support to senior executives, including calendar management, travel arrangements, and expense reporting. Coordinate and schedule virtual meetings, conferences, and webinars, ensuring all participants have the necessary information and resources. Manage incoming and outgoing communications, including emails, calls, and mail, prioritizing and distributing as needed. Develop and maintain organized digital filing systems and databases for easy retrieval of information. Assist in the preparation of reports, presentations, and other documents. Manage vendor relationships and procurement of office supplies and services for remote employees. Implement and enforce administrative policies and procedures to ensure consistency and efficiency. Onboard new remote employees by providing necessary administrative and IT support. Proactively identify and resolve administrative challenges and implement process improvements. Maintain a high level of confidentiality and discretion in handling sensitive information. Serve as a point of contact for internal and external inquiries. Qualifications: Associate's degree or Bachelor's degree in Business Administration, Management, or a related field. Minimum of 5 years of experience in an administrative or executive assistant role, with at least 2 years in a supervisory or management capacity. Proven experience supporting multiple senior-level executives. Exceptional organizational and time-management skills, with the ability to prioritize tasks effectively in a remote setting. Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration tools (e.g., Zoom, Microsoft Teams, Slack). Strong written and verbal communication skills. High level of professionalism, discretion, and attention to detail. Ability to work independently and as part of a remote team. Experience with virtual event planning is a plus. Familiarity with HR administrative processes is beneficial.
