Our client, a rapidly growing technology firm in the heart of **San Jose, California, US**, is seeking a highly organized and proactive Senior Administrative Director. This executive-level position will provide comprehensive support to senior leadership and oversee various administrative functions critical to the smooth operation of the organization. The ideal candidate will be a strategic thinker with a keen eye for detail, exceptional problem-solving abilities, and a proven track record of managing complex projects and confidential information. This role requires a high degree of professionalism, discretion, and the ability to anticipate needs and proactively address challenges. Responsibilities: Manage complex and dynamic calendars for C-suite executives, coordinating meetings, appointments, and travel arrangements. Prepare and edit correspondence, communications, presentations, and other documents. Coordinate and plan high-level meetings, offsites, and events, including logistics, agendas, and material preparation. Serve as a primary point of contact for internal and external stakeholders, representing the executive team with professionalism and poise. Manage and track executive expenses and reimbursements. Oversee the administrative operations of the executive office, ensuring efficient workflow and resource allocation. Conduct research and prepare summaries on various topics as needed by executives. Assist in the development and implementation of administrative policies and procedures. Manage special projects and initiatives as assigned by senior leadership. Maintain a high level of confidentiality and discretion in handling sensitive information. Qualifications: Bachelor's degree in Business Administration, Communications, or a related field, or equivalent practical experience. Minimum of 7-10 years of experience supporting C-level executives in a fast-paced corporate environment, preferably within the tech industry. Exceptional organizational skills and attention to detail. Strong written and verbal communication abilities. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace. Experience with calendar management, travel arrangements, and expense reporting systems. Ability to multitask, prioritize effectively, and manage competing demands under pressure. Excellent interpersonal skills and the ability to build rapport with individuals at all levels. Proactive problem-solver with a resourceful and adaptable approach. Discretion and a high level of confidentiality are paramount.
