Full Description

Position Purpose The Office Manager will work primarily with YFC Executive Director to assist with a variety of administrative tasks and manage the office of West Sound YFC. This employee will also work with the rest of the YFC staff in various capacities to ensure the mission of YFC is moving forward. This employee will be the consistent face in the office that our staff, volunteers and financial partners know and trust. The majority of regular day-to-day correspondence and communication from the organization will flow through this employee. Excellent grammar and writing skills are very important. As are good communication skills including but not limited to phone, email, and texting. This employee handles a large amount of confidential data. The employee must be able to hold confidential data in confidence. This employee works with a variety of people and personalities. Frequently this employee will be in the office working while the other staff are out in the field. This employee should be able to work well with people, but also when alone. Some remote work is possible; however, the majority of work will be done in the office. Essential Job Functions and Duties Reception: Answering phones, responding to emails, checking the mail, and routing incoming each inquiry to the correct person/department. Accounts Payable: Scans and uploads incoming accounts payable documents. HR Data Management: This employee manages the onboarding of new employees (in conjunction with the bookkeeper) as well as maintaining accurate data in employee files. They will work to continually keep employees in compliance with annual safety and other requirements. Volunteer Data Management: This employee will manage the onboarding of new volunteers. They will work to continually keep volunteers in compliance with annual safety and other requirements. This employee will maintain accurate data in the volunteer files. Donor Care & CRM Management: This includes working in Virtuous CRM on a daily basis. Running reports for the team as well as managing donor data. This employee will make deposits of incoming donations and other income received (I.E. sale of merchandise, camp payments, etc.), and reconciling those deposits with the bookkeeper. Fund Development Team: This employee works as an essential part of the fund development team at YFC. Working with the Development Director and other key staff to ensure financial partner appointments and follow-ups take place in a timely manner. This employee will proofread documents (digital & print) prior to them being distributed. This employee works with the development director to ensure the annual development plan is followed. This employee may plan and help execute some development events. (Some of these events will take place during the evening and/or on weekends.) Marketing: Assists the Development Team with routine tasks such as updates on website, assisting our social media coordinator, participating with email marketing, and print media and mailing management. For example, this will include gathering stories from various staff and inputting those into email templates. 2 Fund Development: We use the See the Story funding model and every team member participates by inviting people in their circle of influence to join our mission. Ministry Team Support: This employee supports the ministry team by managing the ministry calendar, providing administrative support for trips and other events, as well as helping the Ministry Director with special requests as they arise. Other items to note: - Extensive use of Microsoft Office and Adobe products, as well as a variety of web-based applications for various job functions on a day-to-day basis, is a requirement. - Working with current organizational systems and creating new systems to help streamline processes, while working within the processes, standards, and best practices by the YFC National Office is a highly desired skill. - The ability to work with confidential information and maintain confidentiality. Fundraising Responsibilities All YFC employees have a responsibility to raise funds for the mission of YFC. You will be given the opportunity to be involved in the development functions of WSYFC. These opportunities could include fund raising events, circle of influence/YFC donor contacts, and other opportunities as provided. Spiritual Responsibilities Because the overriding religious purpose and mission of Youth for Christ USA is to communicate and introduce the Gospel of Jesus Christ to young people and their families, and in that regard to make, educate, and encourage life-long disciples of the Lord Jesus Christ, it is very important that you as an employee in the movement of Youth for Christ be recognized as an associate minister of the Gospel. As an employee of Youth for Christ and an associate minister of the Gospel, YFC expects all employees to: • Seek God’s guidance and wisdom, through prayer and meditation, for the organization as a whole as well as for specific ministry initiatives. • Participate and lead regular times of prayer, devotion, and worship as a regular aspect of your role within YFC. • Teach and preach from the Holy Bible at YFC staff meetings, conferences, camps, and events. Additionally, YFC employees will have an opportunity to be commissioned or licensed as a minister of the Gospel through the established Youth for Christ process, and/or ordained by an outside body recognized by Youth for Christ USA. As such, the following additional responsibilities of a spiritual nature will apply to this position: • Perform sacramental functions such as the taking of communion and leading times of corporate prayer, confession, and praise. • Perform and lead religious ceremonies such as weddings, baptism, and funerals when called upon by staff and other members of the YFC community. EMPLOYEES ARE HELD ACCOUNTABLE FOR ALL DUTIES OF THIS JOB Job Requirements/Specifications Knowledge & Skills - Extensive use of Microsoft Office and Adobe products as well as a variety of web-based applications for various job functions on a day-to-day basis. - Experience working with a robust CRM such as Salesforce or similar. - The ability to communicate well in various forms of communication clearly and succinctly including, but not limited to; email, video conferencing, telephone, and text. - Excellent grammar and proofreading skills. Education & Experience - AA or BA preferred. - Office management and administration experience desired. On the Job Training YFC has several training resources available to our staff. This includes a large online video training library, in-person training several times a year, and phone consulting with leaders from across the country. Equipment & Software Utilized MAC computers are primarily used in our office. Cloud-based software including Adobe, Box, Planning Center Online, Gusto, Divvy, Jot Form, Virtuous CRM, YFC impact, Simple Texting, and DigiSigner among others are used frequently. We also use the office suite of programs. We are willing to try new ideas and software if it increases productivity, streamlines processes, and is affordable. Travel Requirements Locally around the Kitsap area. Staff retreat annually. Regional Leadership Conference annually. The ability to serve at camps and retreats if so desired. Scope of Authority: Supervisory Responsibilities Responsible for overall volunteer management and reporting. Works with area directors & site coordinators, but is ultimately responsible for reporting and overall compliance in this area. Responsible for staff & volunteer HR files.
