We are seeking a reliable, highly organized Virtual Medical & Executive Assistant (VMEA) to support a physician-led telemedicine and direct primary care (DPC) practice. This is a fully remote, part-time role focused on medical administrative support, filling out medical forms, communication coordination, and executive assistance to help manage both clinic operations and physician scheduling. This position does not involve providing medical advice or hands-on clinical care. The ideal candidate is a certified Medical Assistant with strong HIPAA awareness who is comfortable handling sensitive patient information and providing structured executive support in a remote environment. RESPONSIBILITIES Medical and practice operations: Manage and triage practice email communications, including scheduling requests, form inquiries, and general patient messages. Fill out and prepare medical and administrative forms, including referrals, lab requisitions, employer or school forms, and other required documentation, for physician review and signature. Coordinate and reconcile schedules between the electronic health record (EHR) system and Google Calendar. Track follow-up tasks including pending labs, faxes, signatures, completed forms, and patient responses. Draft patient communications for physician review; no independent medical advice is permitted. Send and receive secure faxes and route documents appropriately. Maintain accurate administrative records and task lists. Maintain strict confidentiality and comply with all HIPAA and clinic privacy policies. Executive and personal assistance (limited scope): Correlate the physician’s hospital schedule with clinic and administrative calendars to identify conflicts or gaps. Provide daily or weekly schedule summaries as requested. Maintain a centralized task list for physician follow-ups and reminders. Assist with inbox organization and prioritization under physician direction. Flag time-sensitive items requiring physician attention. Note: This role does not include personal errands, financial management, clinical decision-making, or independent patient counseling. SKILLS AND QUALIFICATIONS Medical Assistant certification (CMA, RMA, NCMA, CCMA) or equivalent international Medical Assistant certification. Formal training in HIPAA and experience handling protected health information (PHI). Experience filling out medical forms and working with EHR systems in an administrative capacity. Strong written English communication skills. Excellent organizational skills and attention to detail. High level of discretion and professionalism. Ability to work independently in a remote environment with minimal supervision.
