JOB SUMMARY This administrative role offers a unique opportunity to support the PACE (Program of All-Inclusive Care for the Elderly) program in West Baltimore within the framework of a supportive, innovative and expert leadership team and company. Together with our coalition of strong partners within the community, the Administrative Coordinator/Receptionist will help lead a transformative impact on a particularly under-served community. The Receptionist/ Administrative Coordinator is responsible for setting the warm welcoming tone of the West Baltimore PACE Center. This position reports to the Director of Operations. ESSENTIAL DUTIES AND RESPONSIBILITIES • Manage check-in and check-out of participants upon arrival and departure, welcoming participants and caregivers and directing general inquiries to the center • Provide administrative support including but not limited to preparing reports, managing supplies and supporting the general office calendar • Work across teams within the center and cross trains to screen potential enrollments for qualified leads if the enrollment team is not available • Answers telephones and route incoming calls. • Appropriately screens new referrals for the PACE and send eligible prospective participants to the Outreach and Enrollment Team • Responds to emergency calls according to established procedures. • Processes and routes incoming and outgoing correspondence to include the mail and packages as required. • Maintains office calendar for conference room scheduling and assists with room setup. • Schedules service and maintenance of office equipment as needed. • Responsible for monthly postage usages and submit reports • Responsible for open and close procedures of the PACE center • Manage onboarding/offboarding employees’ office supplies and cubicle/office update • Provide general support to events at the center • Additional responsibilities will be added at managers discretion, as career growth opportunities and responsibilities are constantly arising in our flexible and start-up environment. QUALIFICATIONS • High school diploma, GED and/or Bachelor’s degree • Spirit of generosity to serve the frail elderly and support the Center in all ways possible • Ability to work autonomously • Must be highly organized and have extensive skills in the use of Microsoft office Suite. • Knowledge of scheduling and route tracking. • Must be able to troubleshoot problems and take initiative to secure resolution • Must submit to and pass a pre-employment drug/alcohol screening and criminal background check. • Must have a current Driver’s License and driving record must be in compliance with Company policy. Must maintain current automobile insurance. • Must have up to date vaccinations according to CMS/ PACE guidelines including vaccination against the seasonal flu and Covid -19 • Operates in full compliance with all applicable federal, state and local fire, health, safety, sanitation, Emergency procedures and other Standards prescribed in law or regulations.
