Primary Purpose The Program & Administrative Operations Manager is responsible for specific aspects of Wesley Child Care Center, including administrative services, daily operations functions, program management/ assistance, and customer service for families. The Program & Administrative Operations Manager works closely with the executive leadership team to ensure that Wesley provides trusted, nurturing, secure and developmentally appropriate preschool education, before-school, after-school programs, and summer camps serving the unique needs of families within the Glenview community. The Program & Administrative Operations Manager reports to the Preschool Program Director (for Preschool related duties) and the Executive Director. Scope The Program & Administrative Operations Manager provides administrative and program support within the daily operations of a non-profit organization dedicated to child enrichment and education programming. Major Responsibilities Program · Serve as Preschool Director in the Preschool Director’s absence and occasionally provide classroom coverage as necessary · Serve as a secondary on-site decision-maker for the children/staff of the Preschool Program · Assist with Preschool staff and program schedules/calendars · Assist with and attend all Staff Meetings and In-Service Trainings · Enforce and monitor all Wesley, DCFS, NAEYC and ExceleRate safety standards, policies, and licensing/accreditation standards and assist the Preschool Program Director with reporting · Develop monthly meal/snack menus, complete related food orders, and receive/organize deliveries · Assist Program Directors with enrollment process/paperwork · Assist Program Directors with program budget monitoring · Assist Program Directors with program analysis to identify needs, optimizations, and growth opportunities Administrative · Serve as first point of contact for Wesley Child Care Center (phone and reception) · Assist and collaborate with Directors across departments, providing administrative assistance as needed/requested · Assist with miscellaneous scheduling (meetings, tours, maintenance, special activities) · Compile and complete supply orders for administrative office and programs · Manage all equipment and equipment maintenance · Assist in the planning and management of Wesley events & fundraising efforts · Assist with/manage website content updates · Assist with ensuring all outbound communications are accurate and represent the highest level of professionalism · Cultivate/maintain digital filing system and physical file storage retention/destruction · Assist Executive Leadership with monthly board meeting preparation · Any other duties as assigned General · Embody and promote the positive, professional image of Wesley Child Care Center · Participate in fostering a culture of collaboration, accountability, and continuous learning within the team Skills / Knowledge Required · Bachelor’s Degree required (Early Childhood Education or related field preferred) · Level II Illinois Director Qualification (or Level I with planned path to achieve Level II within 90 days) · Gateways ECE Level V Credential (or Level IV with planned path to achieve level V within 90 days) · Meet DCFS Director qualifications/standards · 5+ years of relevant experience (previous work with children ages 0-12, 0-5 preferred) · 3-5 years of administrative or management experience · Knowledge of and experience with DCFS Licensing, Illinois ExceleRate and NAEYC Accreditation processes/requirements · Technical knowledge & working proficiency in Microsoft Office 365 and Outlook Suite · Excellent Communication (written, verbal, interpersonal) & Customer Service · Must complete background check requirements, including those mandated by DCFS Professional Qualities Required · High-level processing and decision making · Approachable and open to feedback/direction · Self-motivated · Flexible/Adaptable · Team Player Additional Knowledge & Skills (Not Required) · Non-Profit Experience · Experience with ProCare and/or ADP platforms Physical Requirements: Primary functions require sufficient physical ability and mobility to work in an office setting; to stand or sit for prolonged periods of time; to occasionally stoop, bend, kneel, crouch, reach and twist; to lift, carry, push and/or pull light to moderate amounts of weight (up to 40lbs); to operate office equipment requiring repetitive hand movement and fine coordination including use of computer keyboard; to travel around the facility and/or other locations and to verbally communicate to exchange information. Normal Work Hours and Conditions: Full-time, Monday through Friday, including some weekday evenings, occasional early morning, late evening, and weekend hours related to meetings or events.
