The Business Office Director oversees the daily operations of the business office for the retirement community, managing all administrative and financial functions associated with independent living, memory care assisted living, and catered living. Major areas of responsibility and oversight include accounts payable (medical billing and insurance verification), accounts receivable (resident billing and collections), front desk and guest services, resident services (move in/out, transfers), data entry, subsidy management, general administrative support, and emergency response. You will provide continuing care through these responsibilities Essential functions of this position include the following: • Lead and coordinate all aspects of the business office, including supervision of the billing, collections and resident trust accounting functions as well as the front desk operations. • Responsible for supervision, hiring, training, development, and engagement of staff. • Responsible for scheduling, timecards and other policy enforcement. • Oversee the resident billing system to ensure accuracy of resident accounting billing information, including coordination with other departments as necessary. • Subject matter expert in and responsible for oversight of all resident related accounts receivable balances Private and Other Payers to ensure accurate balances, timely billing and collections. • Responsible for front-end collections of A/R balances due from residents while in-house. • Responsible for timely processing of charges, adjustments, refunds, payment posting and write offs. • Ensure resident bills and collection letters are processed accurately and timely. • Responsible for preparing and managing department budget. • Provide administrative support for campus (reporting, auditing, data entry, communications, etc.). • Respond to emergent campus issues including resident evacuation, if necessary. • Lead self and team to deliver a high level of resident and guest satisfaction. • Support Lean methodology and a culture of continuous improvement. • Model a culture of belonging and champion our recognition and reward program. • Learn and apply Company, Federal, State, and local rules, regulations, and policies. • Conduct thorough assessments of resident eligibility for subsidy assistance. Our requirements and qualifications for success • Bachelor’s degree in business administration, Accounting, or Finance; two or more years of related experience and/or training in business or administrative office management, preferably in health care, housing, or community services; or an equivalent combination of education and experience. • Demonstrated ability to plan, organize, motivate and lead in a team-oriented setting. • Understands and complies with all HIPAA Privacy Laws. • Demonstrated knowledge of general ledger and accounts receivables. • Demonstrated knowledge of Federal, State and third-party insurance billing. • Strong verbal, written, and electronic communication skills. • Ability to establish great working relationships and interact with all staff and constituency groups. • Ability to maintain confidential information and use discretion in decision-making. • Self-motivated and organized with good project coordination skills. • Excellent time management skills to accomplish tasks and meet deadlines. • Experience with Microsoft Office Suite. • Experience in troubleshooting and processing account receivable, payable and timekeeping. Physical, environmental, and mental requirements • Give full attention to what other people are saying, take time to understand the points being made, ask questions as appropriate, and refrain from interrupting at inappropriate times. • Ability to sit, stand, or walk at-will throughout shift. • Ability to hear, understand, and distinguish speech and other sounds one-to-one, in groups, and via telephone or computer. • Ability to perform keyboarding tasks and maintain both near and far vision acuity. • Ability to lift up to 25 lbs. • Ability to maintain concentration and emotional evenness.
