Operations & Marketing Assistant Wellhouse & Co. – Interior Design Studio Part-Time | Approximately 30 hours/week | Hybrid (Northern Virginia preferred) About Us Wellhouse & Co. is an interior design studio creating homes that restore order, beauty, and flourishing to our clients’ lives. We serve busy professionals who trust us to manage every detail with professionalism and creativity. We’re seeking an Operations & Marketing Assistant to play a key role in both the business and brand sides of our studio. This person will be deeply involved in client communication, onboarding, and related accounting, ensuring each client experience reflects our studio’s high standards of excellence. This hybrid position blends operations, accounting, and marketing coordination, and is ideal for someone who’s detail-oriented, polished, and genuinely enjoys interacting with clients as part of a collaborative, creative team. Responsibilities Operations & Accounting (50%) · Serve as a point of contact for clients during onboarding and throughout each project, ensuring communication is professional, clear, and timely. · Work with the Principal Designer to draft project proposals and estimates; send to clients for approval and signature via DocuSign. · Manage the client onboarding process. · Create and send monthly client invoices and order tracking schedules using Harvest and Design Files. · Monitor payments and create purchase orders in Design Files. · Provide purchase order listings and requested details to our outside accounting firm. Marketing & Communications (50%) · Create and manage the studio’s monthly social media and marketing calendar. · Draft and schedule posts and reels for Instagram, Facebook, and Pinterest using provided assets and templates. · Capture occasional video footage and photos for scheduled events or project milestones. · Publish monthly blog posts, manage website updates (Squarespace), and oversee the monthly newsletter (Flodesk). · Support brand initiatives to maintain a consistent, professional, and elevated online presence that aligns with our client experience. Ideal Candidate You’re a confident, professional communicator who brings both organization and warmth to client interactions. You’re equally comfortable managing details behind the scenes as you are representing the studio in client conversations. You love systems, lists, and polished communication — and you take pride in helping projects and people move forward smoothly. You might come from an office management, marketing, or project coordination background, but above all, you thrive in a client-facing role within a creative business. You don’t need to be an expert in both accounting and marketing from day one — but you should be comfortable with professional client communication, confident learning new tools, and driven to uphold the firm’s reputation for excellence. Qualifications · 2-3 years of experience in business operations, client service, accounting, administration, or marketing. · Excellent written and verbal communication skills — polished, professional, and people-focused. · Strong attention to detail and organizational skills. · Proficiency with tools such as QuickBooks, Harvest, Canva, Instagram, Pinterest, Squarespace, Flodesk, and social media scheduling platforms. · Ability to manage multiple projects and deadlines in a fast-paced, service-oriented environment. Preferred but not required · Degree in Business, Accounting or Marketing. · Experience in interior design, architecture, or another creative field. Compensation & Schedule · Hourly rate: $28–$30/hour, based on experience. · Hours: Approximately 30 per week, flexible schedule during business hours. · Growth potential: Opportunity to increase to full-time as the studio expands.
