We are seeking an ADMINISTRATIVE ASSISTANT in the CONSTRUCTION industry to join our team! You will perform clerical and administrative functions in order to drive company success. Administrative Assistant Job Purpose: Provide administrative support to ensure that day to day operations are maintained in an effective, up to date and accurate manner. Responsibilities: • Maintain workflow by studying methods; implementing cost reductions; and developing reporting procedures. • Creates and revises systems and procedures by analyzing operating practices, record keeping systems, forms control, office layout, and budgetary and personnel requirements; implementing changes. • Resolves administrative problems by coordinating preparation of reports, analyzing data, and identifying solutions. • Ensures operation of office equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques. • Provides information by answering questions and requests. • Maintains office supply inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies. • Contributes to team effort by accomplishing related results as needed. • Knowledge about Construction Closeouts and waivers. • Maintaining General Contractors licenses for various municipalities and States. • Invoicing using AIA G702 and G703. • Prepare contracts using AIA A401. Qualifications: • Previous experience in office administration or other related fields is a must. • Preferred experience at a construction company. • Ability to prioritize and multitask. • Excellent written and verbal communication skills. • Strong attention to detail. • ​Strong organizational skills. • Strong work ethic. Company DescriptionWade Ray & Associates Construction is General Contractor working primarily in the commercial construction industry. We have roughly 15 people working in our office and many in the field. The office environment is very relaxed. 75% of our work is in the retail sector.
