Position Overview The People Operations Specialist supports the Vice President of Human Resources and the larger People team in delivering a smooth, consistent, and compliant employee-centered experience. This role focuses on general HR administration and duties, including but not limited to: sourcing and scheduling assistance, onboarding and offboarding processes, administration of HR systems (applicant tracking system, HRIS, etc.), benefits administration, answering employee HR-related inquiries, running reports, preparing HR collateral such as PowerPoint decks and FAQ documents, etc. The People Operations Specialist is a utility player for the People Team, assisting with HR related tasks in all phases of the employee life cycle. The ideal candidate is detail‑oriented, organized, and comfortable handling sensitive information with discretion. Most importantly, the right candidate is people-oriented and possesses a strong customer service mindset. Key Responsibilities Assist with HR administrative tasks at each phase of the employee life cycle (from onboarding and recruiting to offboarding and terminations, and everything in between). Provide first-line support for employee HR questions (PTO balances, holidays, benefits, policies, learning & development, payroll timing, etc.). Manage our HR shared inbox, escalating more complex questions and requests as needed Help build and maintain employee self-service resources (FAQs, SOPs, and process guides) by identifying common HR questions and documenting clear, accessible answers over time. Coordinate onboarding activities, including preparing new‑hire documentation, scheduling orientation, conducting orientations, welcoming new team members, sending out new hire announcements, and ensuring all pre‑employment requirements are completed. Support offboarding processes by preparing separation documents, coordinating the collection or shipment of company assets, liaising with internal IT teams to ensure timely system access changes, and generally performing and coordinating exit checklist tasks. Draft, edit, distribute and maintain a variety of HR and Company documents, paperwork, collateral and other digital materials. Support benefits administration across the employee lifecycle, including enrollments, changes, and terminations, and act as a liaison between employees and benefits providers. Ensure data integrity across HR and benefits systems by performing monthly reconciliations of benefit invoices, employee elections, and carrier records, and resolving discrepancies related to enrollments, terminations, open enrollment, and COBRA. As needed, assist with recruiting and sourcing tasks such as resume screening, outreach, scheduling, and candidate pipeline maintenance. Assist managers with routine HR process (ie: onboarding steps, job changes, performance cycle logistics, time sheet changes, etc.) Maintain accurate and up‑to‑date employee records in HRIS and shared systems. Support compliance initiatives, audits, and documentation requirements. Partner with the People team to continuously improve employee self-service tools and documentation, enabling employees to independently access People-related information. Minimum Qualifications Bachelor’s degree in Human Resources, Business Administration, Organizational Development, or related field; equivalent experience considered. At least 2 years of experience in HR, people operations, recruiting coordination, and/or administrative support with a focus on HR compliance. Knowledge of basic employment laws and HR compliance practices is preferred. Experience updating employee data within HRIS platforms (e.g., Paylocity, Workday, BambooHR, ADP, UKG, or similar). Familiarity with sourcing tools such as LinkedIn Recruiter, Indeed Resume, ZipRecruiter, or similar candidate tracking systems. Strong organizational skills with the ability to manage multiple tasks and deadlines. Excellent written and verbal communication skills. High attention to detail and accuracy in documentation. Ability to handle confidential information with professionalism and discretion. Proficiency with common office software (e.g., Microsoft Office and Google Workspace). What does success in this role looks like? Employees receive timely, accurate, and consistent responses to HR-related questions and feel supported navigating People processes. Common employee questions and pain points are proactively identified and addressed through clear documentation, FAQs, and self-service resources. Employee self-service offerings improve over time, resulting in fewer repeat inquiries and greater employee confidence in accessing People-related information independently. Onboarding and offboarding experiences are well-coordinated, organized, and leave employees with a positive and professional impression of the company. HR systems and employee data are accurate, up to date, and audit-ready across the employee lifecycle. Benefit enrollments, terminations, open enrollment elections, and COBRA coverage are accurately reflected across HRIS, benefits platforms, and carrier invoices, minimizing errors and retroactive corrections. People team leaders are able to focus on strategic initiatives as routine administrative work and employee inquiries are handled efficiently and consistently. Why Join Us?
