The Lateral Partner Recruitment Admin Assistant works under the direct supervision of the Senior Lateral Partner Recruitment Manager and the general supervision of the Director of Lateral Partner Recruitment and the International Lateral Recruitment Manager, in conjunction with other Attorney Recruitment and Talent personnel, the Executive Committee, Department Heads and Practice Group Leaders to support all aspects of the Firm’s global lateral partner and counsel hiring efforts. Position Overview The Lateral Partner Recruitment Admin Assistant works under the direct supervision of the Senior Lateral Partner Recruitment Manager and the general supervision of the Director of Lateral Partner Recruitment and the International Lateral Recruitment Manager, in conjunction with other Attorney Recruitment and Talent personnel, the Executive Committee, Department Heads and Practice Group Leaders to support all aspects of the Firm’s global lateral partner and counsel hiring efforts. This position is for the Houston office. Duties and Responsibilities Primary • Supports the Lateral Partner Recruitment team with respect to all global lateral partner and counsel hiring initiatives with a primary focus on administrative support • Updates and maintains applicable candidate and team databases and tracking documents • Schedules lateral partner and counsel interviews, handles data entry in ViRecruit, and collects and distributes candidate feedback • Supports local Talent teams to facilitate hiring, onboarding and integration activities for lateral partners and counsel, with a primary focus on scheduling orientation sessions and handling the distribution of arrival gifts • Ensures a high quality candidate experience by greeting candidates and monitoring interviews, reminding partners of interview times to ensure meetings are on time, checking conference rooms, etc. • Schedules meetings for all aspects of recruitment process, including internally for the team and applicable partners, for lateral partner candidate briefings, and with external recruiters • Provides scheduling support for the Practice Management and Business Development teams for lateral partner integration “road shows” • Works with Lateral Partner Recruitment team to create and execute a system to ensure responses are sent to legal recruiters in a timely manner • Communicates with legal recruiters for scheduling purposes and rejection correspondence • Supports relationship efforts with legal recruiters, vendors, lawyers, lateral candidates, and firm personnel • Maintains and updates process documentation, e-comms, templates, and resources related to lateral partner and counsel recruitment • Provides reports and statistical data as needed • Maintains a high level of confidentiality • Updates and maintains candidate files Secondary • Provides back-up support to Compliance Coordinator • Performs additional duties and responsibilities as assigned • Provides support for the lateral associate recruitment team as needed Working Conditions • Ability to travel occasionally and work late hours • Job is subject to time pressures and constraints Education Minimum Qualifications • College degree required. Experience • 0–2 years of administrative experience, with a preference for candidates familiar with law firm or professional services environments. Special Knowledge • Knowledge of hiring practices and associated laws and regulations preferred. Technical Skills • Knowledge of Firm computer software (Microsoft Word, PowerPoint & Excel); experience with recruiting and HR management systems preferred (ViRecruit, Oracle, DocuSign). Attributes • Exceptional communication and organizational skills; ability to work with a team of highly-skilled professionals in situations that require diplomacy and confidentiality; detail-oriented; high level of professionalism. Qualifications • Ability to maintain a good rapport with various personnel at all levels.
