The Field Business Office Manager is the primary individual responsible for the timely collection of accounts receivable from all payor sources, updating the accounting systems at the assigned nursing facilities and those which interface with the home office. The Field Business Office Manager is directly involved in the maintenance of accurate and complete trust accounting records, census information, billing and resident accounts receivable statements for assigned facilities. Field Business Office Manager Duties and Responsibilities: • Enter and Balance Daily Census in PointClickCare. • Complete Payer setup and changes for all residents. • Ensure that Medicaid applications are completed by coordinating with Admissions Department and family. • Maintain financial files on all residents. • Complete RFMS Authorizations for new Medicaid/Medicaid Pending Residents. Open RFMS Account if necessary. • Apply representative payee for social security and/or change of address. • Verify responsible party in PointClickCare has a complete address and phone number for statements and collection calls upon admission. • Prepare and Scan Deposits. • Update Corporate Office on all Medicaid changes including admissions, discharges, payer changes, and income changes. • Rerun Medicare and Medicaid eligibility monthly for all residents. • Make weekly collection calls to families for private pay, resident liabilities and any other outstanding accounts. • Make notes in the resident file under Collections Tab to track progress. • Complete Medicaid Redeterminations and Re-Authorizations. • Complete Medicaid Pending Report. • Attend Medicare Meeting. • Run Current Eligibility and Review for All Medicare Residents to ensure Coverage/Days. Reviews daily work assignments to ensure they meet regulatory compliance and provide consistent staffing whenever possible. • Manages the Business Office staff, scheduling breaks, writing performance reviews, and enforcing policies with responibility to issue Coaching and Coorective Action, as needed. • Authority to suspend employees for rule(s) violation under the guidance provided by the HR designee and the Administrator, within the guidelines of the union, if applicable. • Participates in the interview process of applicants that will be assigned to his/her area of responsibility and makes recommendations for hiring. • Responsible for recruitment, training, supervision, scheduling, time cards, and personnel issues in the Business Office department. • Perform all other duties, as assigned. Field Business Office Manager Skills and Abilities: • Intermediate systems processing. • Basic skills in Microsoft Outlook, Excel, and Word. • Good organizational and communication skills. • Ability to read, write, speak, and understand English. • Ability to relate positively, effectively and appropriately with residents, families, community members, volunteers and other facility staff. • Strong understanding of Medicare and Medicaid claims processing. • Leadership Skills Field Business Office Manager Education and Experience: • High school diploma or equivalent, required. • Basic accounting or bookkeeping courses or experience preferred. • At least 3 years of experience working in a skilled nursing facility preferred. Physical Requirements: • Walking, reaching, bending, lifting, extended sitting, grasping, fine hand coordination, pushing and pulling, ability to distinguish smells and temperatures, all with or without the aid of mechanical devices is required. • Limited potential for exposure to environmental hazards. Understanding and adherence to company safety standards and protocols required.
