Assist with office operations, manage supplies, coordinate events, and handle communication and administrative tasks.
High school diploma with proven experience in front desk or administrative support, familiarity with office equipment, and strong organizational skills.
Position Objectives and Responsibilities • Greet clients and set a positive office atmosphere; oversee entryway security system, and answer phone and direct phone calls on a multi-line phone system using excellent customer service; email phone messages to employees • Responsible for opening and closing office daily • Maintain ongoing log of all employees in and out of the office for proper routing of messages • Manage and oversee all conference rooms’ calendars, maintain conference rooms with necessary supplies and ensure they are always neat and presentable; daily inspections and monitor for replenishments • Manage all front office daily operations including office supply ordering, kitchen stocking of milk, coffee, cups, etc and restroom supplies • Maintain inventory of owner and conference room refrigerators • Manage catering of large and small meetings • Order catering and flowers for employees’ bereavement and life events • Coordinate with Functions committee to secure venues for company outings (holiday and summer parties, golf outing, etc.) • Maintain RSVP list for company events, luncheons and contests • Update and distribute Company Calendar throughout office. • Decorate employee workstations for birthdays and like celebrations. • Monitor info@vericon.com account for incoming notifications. • Daily maintenance of paper in all the common printers, copy machines, and fax machines • Record and maintain bound Builder’s Risk insurance policies for reference. • Coordinate with Facilities and record any internal issues (i.e., leaks, insects, heating / AC issues) • Coordinate repairs and maintenance of copy and fax machines, scanners, common printers, and Pitney Bowes postage machine • Maintain mail room’s Pitney Bowes machine has enough postage; ensure all shipping material is fully stocked and current; keep the mailroom neat and tidy • Open, date stamp, and promptly distribute incoming mail/packages • Stamp all outgoing mail, prepare FedEx labels for outgoing packages • Maintain and order FedEx supplies as needed • Monitor and distribute incoming faxes and outgoing faxes with confirmation page • Maintain keys and log for company cars including gas receipts and Job coding • Review Vehicle Request forms for maintenance needs and notify Warehouse Manager as needed • Oversee inventory of EZ-Pass fobs and maintain tracker of vehicle assignment • Create VCC employee badges for all new hires company wide • Program Corporate Office employee badges to all building door lock pads • Work with Compliance Coordinator to send MSA and/or MVA packages to new subcontractors upon request of the project team. • Notify office staff of incoming deliveries to the warehouse • Pay parking tickets online • Code monthly credit card statement and receipts • All other tasks as assigned Position Requirements and Qualifications • Proven experience as front desk representative or relevant position • Familiarity with office machines (e.g. fax, printer, etc.) • Excellent knowledge of MS Office (especially Excel and Word) • Excellent communication skills and able to effectively communicate with clients, vendors, city/town officials, and employees • Exceptional organizational and multi-tasking abilities • Problem-solving skills; Customer service oriented • High School diploma; additional qualifications will be a plus
