Job Overview We are seeking a detail-oriented and organized Administrative Assistant to support our team in various administrative and accounting tasks. This role is crucial in ensuring the smooth operation of our office and will involve working closely with both internal teams and external clients. The ideal candidate will have a strong background in accounting principles, familiarity with various accounting software, and excellent communication skills. Responsibilities • Provide administrative support to the accounting department. • Assist with bookkeeping tasks such as issue invoices, accounts payable and receivable, ensuring accurate record-keeping. • Perform general ledger accounting, including journal entries, account reconciliation, and balance sheet reconciliation. • Utilize accounting software such as QuickBooks, Quicken, Sage, Xero, or similar tools for financial reporting and analysis. • Conduct bank reconciliations and payroll processing as required. • Maintain organized records of financial transactions and ensure compliance with governmental accounting regulations. • Support the team in technical accounting tasks and provide account analysis when necessary. • Purchase office and warehouse supplies, verify payments and ensure account accuracy. • Manage warehouse inventory systems and resolve system-related issues. • Assist in customs clearance documentation, follow up on container arrivals and manage system entries. • Handle claim cases for transportation damages and product inspections. Requirements • Proven experience as an Administrative Assistant or in a similar role within an accounting environment. • Strong understanding of financial concepts including double-entry bookkeeping, budgeting, and account analysis. • Proficient in using various financial software applications for bookkeeping and reporting purposes. • Excellent organizational skills with a keen attention to detail. • Strong communication skills, both written and verbal, to effectively interact with team members and clients. • Ability to manage multiple tasks simultaneously while maintaining accuracy under pressure. • Knowledge of debits & credits, general ledger reconciliation, financial report writing, and payroll processing is essential.
