Position Title: Athletics Compliance and Business Operations Manager Job Category: Academic Staff Employment Type: Regular Job Profile: Athl Prog Oper Mgr (D2/D3) Job Duties: Coordinates the team scheduling, travel logistics, budget and maintenance, and monitoring of compliance and athlete eligibility for an intercollegiate athletics program to ensure the effective and efficient operation of the program. Key Job Responsibilities: Evaluates existing strategies, policies, and procedures and makes recommendations to unit leadership for program enhancement; ensures compliance with existing requirements Travels with assigned team to ensure compliance with applicable state and university rules Monitors student-athlete academic eligibility and status to ensure compliance with established rules and regulations Manages logistics, secures resources, and finalizes team scheduling of facilities and travel for games, practices, camps, clinics, and special events May exercise supervisory authority, including hiring, transferring, suspending, promoting, managing conduct and performance, discharging, assigning, rewarding, disciplining, and/or approving hours worked of at least 2.0 full-time equivalent (FTE) employees Monitors the unit or program budget, recommends equipment purchases, and manages submission of expense reporting Department: Athletics Reports to: Director of Athletics Full-Time: 100% ongoing 12-month appointment, Academic Staff, one vacancy UW Standard Job Responsibilities: Monitors student-athlete academic eligibility and status to ensure compliance with established rules and regulations. Evaluates existing strategies, policies, and procedures and makes recommendations to unit leadership for program enhancement; ensures compliance with existing requirements. Manages logistics, secures resources, and finalizes team scheduling of facilities and travel for games, practices, camps, clinics, and special events. Monitors the unit or program budget, recommends equipment purchases, and manages submission of expense reporting. Travels with assigned team to ensure compliance with applicable state and university rules. May exercise supervisory authority, including hiring, transferring, suspending, promoting, managing conduct and performance, discharging, assigning, rewarding, disciplining, and/or approving hours worked of at least 2.0 full-time equivalent (FTE) employees. Additional duties specific to the position: Promote the philosophy and objectives of the athletic program; to include adhering to and enforcing all departmental policies and procedures, as well as rules and regulations of the university, governing sport conference(s), and the NCAA. Oversee compliance and athletics eligibility certification process, including but not limited to: the administration of athletics eligibility meetings, process and management of roster certification, coordination of eligibility certification with applicable parties, and management of eligibility records. Manage the reporting and tracking of student-athlete participation in University management systems and aid with compilation of data for various University, conference, or NCAA reporting. Assist in the monitoring of the University’s athletic program to adhere to NCAA and the applicable governing sport conference(s) bylaws, rules and regulations governing all facets of the athletics department. Provide annual training to athletics staff on relevant compliance topics and support the on-boarding of new staff members with training. Serve as a liaison with the University’s Compliance Officer for the management of applicable university, state or federal compliance regulations relevant to the athletics department. Assist in the oversight and management of the department’s youth and minors programming, such as camps and clinics and community outreach programs, to ensure compliance to university, state and federal compliance regulations. Assist with departmental operations and fiscal management, including review and management of various workflows such as procurement, purchasing card reconciliation, and employment. Serve as a liaison with the University’s Business Office for adherence to business policies and procedures, workflow management, and departmental operations. Support the general operations of the athletics department including assisting with inventory management, procurement, student employment, and event management. Cooperate with all athletic staff members to enhance overall department operations and strategies initiatives. Participate in public relations activities to include speaking engagements, television and radio interviews and press conferences, as approved or requested. Represent the athlete department at professional, civic, charitable and alumni events. Provide additional departmental support for duties and tasks assigned by the Director of Athletics. Other Duties: Complete required trainings and professional development as assigned. Other duties as assigned. Knowledge, Skills and Abilities: Strong interpersonal skills with the ability to work effectively with a wide range of constituencies in a diverse community. Proficiency in computer use and relevant applications. Ability to comprehend and manage compliance rules and regulations. Ability to provide leadership and instruction in the personal and athletic development of student-athletes. Ability to resolve complex problems and conflict management. Ability to organize workflow and coordinate activities. Ability to demonstrate effective communication skills both orally and written. Ability to drive a vehicle for the purpose of conducting university business and meet the criteria for operation of state-owned-vehicles – Policy 615 Required Qualifications: Bachelor’s degree from an accredited institution Two years of demonstrated experience working in collegiate athletics with responsibility in compliance and business operations Valid driver’s license This position is currently ineligible for H1-B sponsorship. A qualification for this position includes independent eligibility to work within the United States upon hire date. Desirable Qualifications: Master’s degree from an accredited institution A minimum of two years’ athletics administration experience. NCAA compliance experience preferred. Demonstrated experience in budget management and fundraising initiatives. Experience with NCAA Division III rules and regulations Compensation & Benefits: Salary range for this position is: $45,000 - $53.000 annually.
