Full Description

The Document Management team works closely with stakeholders across the organization to (1) Acquire, (2) Validate, (3) Integrate, (4) Distribute and (5) Retain critical data to UTIMCO’s mission. The Document Management Specialist will work closely with other members of the Document Management team to build a fully integrated dataset to drive analytics, reporting and business intelligence to increase productivity across all UTIMCO business units. This position is deeply cross-disciplined and requires a wide breadth of skills. Broad Responsibilities Include: • Document Acquisition - Promptly save incoming documents received from internal and external parties, leveraging document management processes and conventions • Technology Adoption - Utilize industry specific technology to assist in the collection, tagging and storage of electronic documents received from internal and external parties • User Support - Aggregate documents and information upon request and other one-off projects in collaboration with users across the firm • Physical Document Digitization - Convert physical documents to digital files to be retained properly in our document management system • Process Improvement - Work closely with Document Management team members to build, enhance and maintain a process library to support team efficiency and effectiveness • Training - Train users on Document Management system and other firm productivity systems • Auditor Support - Work closely with auditors and internal stakeholders to ensure that documentation is accurate and readily available • Organizational Health - Build relationships across UTIMCO to foster an excellent culture on the Document Management team and across the organization Requirements: • Proficiency using Microsoft Office 365, SharePoint, Adobe Acrobat and Document Management Software • Minimum of 1 year (for analyst) or 3 years' experience (senior analyst) with Document and Records Management • Strong analytical and problem-solving skills, ability to prioritize, multi-task and keep organized • Willingness to accept responsibility for assigned tasks and work independently • Display understanding of teamwork flow processes • Display working knowledge of applications and technology tools used in teamwork flow processes • Ability to deal with multiple projects, assignments and priorities • Elevated attention to detail as well as strong verbal/written communications skills and presence to communicate effectively with teams across UTIMCO • Collegial team player possessing intellectual curiosity, sound judgment, and thoughtfulness • Constructive, “can do” attitude committed to consistently doing what is in the best interest of the organization • Unquestioned honesty, integrity, and transparency • Cultural fit is a must in a respectful, collegial, and open working environment NOTE: This role requires in-office, 4 days a week, Monday thru Thursday.
