Manage and optimize SharePoint environment including metadata, folder structure, and Salesforce integration to improve workflow and user access.
Plan, develop, and deploy SharePoint site structures with governance, data migration, search optimization, and user training, integrating with Salesforce.
Right now, our SharePoint environment has a lot of data sprawl, with no real governance or consistent structure. We want to introduce metadata so people can easily find what they need, whether they’re searching by client, retailer, or something else. We also want to simplify our folder setup so it’s easier to navigate and more consistent across the board. Another goal is to identify and eliminate duplicate files. As part of improving our workflow, we plan to create a SharePoint site for every client and have those sites automatically created when a client becomes active in Salesforce. We also want to make SharePoint files visible in the right places within Salesforce, so teams don’t have to jump back and forth. And finally, we want to build an intranet that gives everyone a single, easy place to access that has everything they need to start and finish their day with intuitive navigation and consolidates our communication. Below is an expectation of what we would want the SOW to include at a minimum 1. Envisioning and Planning Phase a. Meet with stakeholders (assumed 25 stakeholders) b. Perform analysis i. Identify data to be moved ii. Content types iii. Folder hierarchy iv. Navigation and topology c. Review design criteria d. Create roadmap e. Security Audits f. Review Salesforce requirements 2. Development, Stabilizing, and Deployment Phase a. Define Navigation and topology b. Landing page optimization c. Site content structure deployment d. Site preparation for data migration e. Search optimization f. Salesforce integration g. End user training setup h. Create Governance documentation i. Knowledge transfer workshop(s) j. Data migration assistance k. Functionality testing l.
