As we continue to scale, we are seeking a highly organized, proactive, and trustworthy HR Operations Coordinator to help build and support the internal infrastructure that drives our people, processes, and client experience. Position Overview The HR Operations Coordinator plays a critical role in supporting daily business operations with a primary focus on Human Resources coordination, employee support, executive operations, and client administrative services. This role is ideal for a professional who thrives in fast-paced environments, exercises sound judgment, maintains strict confidentiality, and takes initiative without waiting for direction. You will serve as a key operational partner to leadership while helping ensure organizational effectiveness and compliance. Core Responsibilities Human Resources Operations (Primary Focus) Coordinate day-to-day HR operations across Ajapreneur Group brands Manage employee onboarding and offboarding processes from start to finish Prepare offer letters, new hire packets, and onboarding documentation Maintain accurate, compliant, and confidential personnel files Track employee trainings, certifications, and compliance requirements Support benefits administration and employee documentation Assist with performance management processes and documentation Facilitate policy acknowledgments and employee communications Support handbook updates and HR policy distribution Coordinate background checks and employment verifications Assist leadership with employee relations documentation when needed Help ensure adherence to employment practices and organizational standards Operational Coordination Support daily business operations by maintaining organized workflows and administrative systems Track organizational priorities, deadlines, and internal deliverables Assist with developing and improving operational processes Identify inefficiencies and recommend workflow improvements Help maintain internal documentation and operational procedures Provide cross-functional administrative support when needed Executive Support Provide high-level administrative support to executive leadership Manage calendars, scheduling, and priority follow-ups Assist with inbox organization and communication tracking Coordinate meetings, logistics, and preparation materials Support special projects and strategic initiatives Handle sensitive business matters with professionalism and discretion Credit Repair Client Administrative Support Coordinate new client onboarding and intake processes Maintain organized and confidential client records within CRM systems Monitor client workflow timelines and follow-up requirements Assist with client communications and service updates Support documentation collection and compliance processes Coordinate internally to ensure a high-quality and professional client experience Required Qualifications Minimum of 2 years of Human Resources coordination or HR administrative experience (Required) Strong operational or administrative experience in a fast-paced environment Exceptional organizational and multitasking abilities Excellent written and verbal communication skills Demonstrated ability to handle highly confidential information High attention to detail with strong execution skills Ability to work independently and manage competing priorities Proficiency with Google Workspace, HR systems, CRM platforms, and project management tools Preferred Qualifications Experience supporting an executive, entrepreneur, or multi-entity organization Familiarity with compliance-driven environments (HR, consulting, financial services, etc.) Experience improving workflows or operational infrastructure Bachelor’s degree in Human Resources, Business Administration, or related field preferred Key Traits for Success We are seeking someone who is: ✔ Extremely organized ✔ Proactive and solution-oriented ✔ Highly trustworthy ✔ Process-driven ✔ Professional in communication ✔ Calm under pressure ✔ Able to execute without constant supervision What We Offer Opportunity to grow within a fast-scaling, multi-brand organization Direct exposure to executive leadership and business strategy Flexible work environment Competitive compensation based on experience Strong long-term advancement potential
