Job Description UW Facilities manages the University’s buildings, infrastructure and land, with more than 1,100 employees in a variety of fields. The Asset Management group includes Capital & Space Management, Real Estate, Sustainability and other teams responsible for planning and workload management. Maintenance & Construction (M&C) is responsible for general maintenance, repair, and renovations of all University of Washington (UW) main campus facilities including building interiors, exteriors, and grounds, as well as logistics, moving, and disposal of surplus equipment and furniture. Position Purpose Maintenance & Construction: Materials Management has an outstanding opportunity for a Program Coordinator, Surplus Retail Operations. Under the direction of the Program Support Supervisor for Surplus Retail Operations, the Program Coordinator will serve as the primary contact for the Surplus Property retail store operations and activities. The person in this position must be experienced with front-line customer service support via email, phone, and in-person visits and highly skilled at interfacing with and assisting the campus community and general public. The ability to problem-solve, collaborate cross functionally with other programs, and thrive in an environment with many moving parts are strong attributes for this position. Primary Duties and Responsibilities Serve as the primary contact for the surplus property retail store operations. Advise the campus community, governmental agencies, non-profit organizations, and the general public regarding the policies and procedures for acquiring surplus property and ensure compliance with University policies and procedures, WACs, and RCWs with regard to the acquisition of state surplus property. Coordinate surplus retail store operations. Receive, separate, evaluate, price, and sell surplus property. Research pricing, markets, identify potential buyers. Maintain and update merchandise presentation to maximize the use of warehouse space and accommodate incoming surplus property. Conduct retail store sales of surplus property to University of Washington departments, state and local governmental agencies, non-profit organizations, and the general public. Follow department cash handling policies and guidelines. Prepare and process sales receipts; receive and process sale revenue. Generate daily cash sales report and reconcile reports with sales receipt forms and cash revenue received. Complete sections of cash report as required. Process and handle charge sales; reconcile credit card merchant reports with sales receipt forms. Promote Surplus retail sales activities. Update and maintain retail store inventory listings and online auctions. Create content for social media accounts. Develop marketing communication campaigns, including email, e‐newsletters, signage and advertisements. Assist in preparing warehouse for public stores and special events. Maintain and update government agency and non-profit eligibility and reseller and tax-exempt buyer files. Conduct annual audits and reviews. Monitor Surplus email account; respond to inquiries for information. Bring forward customer feedback for review and analysis by Program Support Supervisor and Moving & Surplus Manager. Create, improve, and maintain program procedures. Conduct physical inventories of merchandise as scheduled and/or directed. Direct and review the work of and provide training and coaching to student assistants. Provide direction and assignments to Moving and Surplus staff working in the Surplus Store. Identify hazardous materials, such as sharps, chemicals, asbestos, lead, mercury, radioactive producing devices, lasers, etc. Follow handling and disposal guidelines; submit inquiries and disposal requests to EH&S. Provide customer assistance, including loading and unloading property, and order fulfillment. Safely operate material handling equipment used in receiving and retail areas within the store and warehouse, and when loading and unloading property. Participate in organizational, division, unit, and work group programs: Balanced Scorecard, Lean Process Improvement, and other business efforts to improve workplace practices and processes to add value to the services provided. Provide coverage for other Surplus Program Coordinators during planned and unplanned absences. Assist with special projects as assigned. Perform additional duties as assigned. Education & Experience Required High school graduation or equivalent AND two years of experience in retail operations/warehouse operations/materials management Equivalent education/experience will substitute for all minimum qualifications except where there are legal requirements, such as a license/certification/registration. Flexibility of schedule is required in order to meet operational needs. Work is normally performed in an interior warehouse environment and an interior office environment. However, work may include outdoor work with exposure to the elements and variable weather conditions. Substantial footwear is required and must be worn with operating material handling equipment and/or moving materials and must be provided by the employee. Ability to lift / move up to 50 pounds unassisted and ability to lift / move 50-100+ pounds with assistance. Work requires walking, lifting, bending and standing for long periods of time. Must be able to work in a non-smoking environment. Regular and predictable attendance is required.
